Campus Procurement Assistant

Under direction, assists with the handling of campus-wide transactions to procure equipment, services and supplies needed for the efficient operation of the University Hospital.

Responsibilities

What You'll Do

• Sourcing Responsibilities - Performs the following, as required:
• Maintains a clear knowledge of sources of supply (e.g., Buying Groups, State Contracts, etc.), and utilizes these sources, as directed, for the purchase of the commodities and/or Services to which he/she is assigned.
• Ensures that source contract information is up to date for the specific commodity/service areas to which he/she is assigned, maintains current information from catalogues, trade journals and other technical information, and makes this information available for use by requisitioning departments.
• Solicits and analyzes quotations, changing sources of supply, when appropriate, for better price, delivery and quantity, making certain that determinations are consistent with statutory requirements and the policies and procedures established by the University Hospital.
• Processes properly authorized requisitions after approval by the requisitioning departments Business Office, within the established processing standards, which includes, but may not be limited to, the following:
• Obtains competitive pricing for requisitions up to $50,000 as required.
• Obtains written quotes from three (3) or more vendors for requisitions over $50,000 but not exceeding $250,000, as required.
• Conducts procurements via public advertised Requests for Proposal (RFP's), or through obtaining an Alternative Procurement approval, within the established processing standards, which include, but may not be limited to, the following:
• Assists departments in the development of their statement of what is being purchased ("Scope of Work").
• Prepares the solicitation document and advertises the same.
• Leads and acts as facilitator at all meetings related to the procurement, e.g., bid conferences, site inspections, evaluation committee meetings, oral presentations and others.
• Provides or directs the production of any and all documentation required during the procurement process, including that which is used in awarding the contract.

Qualifications

What You'll Bring

Required:

• Bachelor's Degree in an appropriate field, plus one (1) year buying experience, preferably in the area of public procurement.
• Experience in hospital and research-related purchasing is a plus.
• Equivalent education, experience and/or training may be substituted for the degree requirement.

Preferred:

• Computer literacy is required. Experience with Microsoft Office Suite and computerized purchasing applications is preferred.

Compensation

In compliance with New Jersey's Pay Transparency Act, the salary range for this position is PH/19A: Probationary Rate $ 29.80- Job Rate $ 35.75- Two (2) Year Rate - $ 42.29 per hour. University Hospital considers multiple factors when determining compensation, including (but not limited to) the scope and responsibilities of the position, the candidate's relevant work experience, education and training, key skills, internal equity, market data, and organizational needs.The expected salary range for this position is in accordance with the New Jersey Pay Transparency Law; final compensation will be commensurate with experience and qualifications.
