Division Manager

The Division Manager (DM) has a challenging and rewarding job working with an exceptional group of faculty and staff in a dynamic multi-institutional environment. In partnership with the division chief, the incumbent is responsible for developing short and long-range needs assessments to appropriately support the division's overall goals and missions. The incumbent takes initiative to develop operations policy and works closely with the division chief to facilitate effective decision-making processes in addition to having both internal and external facing responsibilities addressing strategic direction, divisional expansion and growth, and overall administration and center operations. The incumbent plans, organizes and directs all activities to ensure operational effectiveness of the division including : financial management, academic faculty and staff personnel administration, research administration, IT services, space and facilities management. The incumbent has responsibility for the administration and financial relationships of the division with Department of Medicine and other departments and divisions at UCSF. The division manager position has a dual role as the chief administrator for the division : 1) The DM is responsible for all operating activities, including developing and maintaining appropriate systems to ensure high quality service delivery, integrating administrative, fiscal, and programmatic systems, and 2) provides organizational management to researchers and collaborators of the division, and monitors and evaluates the progress and outcomes of projects. Overall, in partnership with the chief, the DM is responsible for strategic planning anticipating and incorporating needed changes in programs while evaluating the impact of policy shifts or other external changes on DoC-IT. As a non-clinical division, the division manager predominantly focuses on supporting research, training / education, HR, finance, and strategy related to growing and sustaining the division and its people and programs.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $143,900 - $215,800 (Annual Rate).

The Department of Medicine (DOM) is the largest department in the School of Medicine (SOM) at UCSF. The DOM has an annual budget of ~$715M across three sites with over 2,700 employees. The DOM comprises 24% of all UCSF faculty, 27% of the SOM's faculty, and 20% of the SOM budget. For the past 30 years, the DOM has consistently ranked among the top four departments of medicine in the country, and the department has been the number one recipient of NIH research dollars in seven out of the last ten years.

The Division of Clinical Informatics and Digital Transformation (DoC-IT) serves as the academic home for applied clinical informatics researchers within the UCSF Department of Medicine (DOM). DoC-IT also serves as a coordinating entity with key internal and external digital stakeholders across all UCSF mission areas, schools, departments, and divisions. Founded two years ago, the division has grown significantly, expanding from an initial group of 15 faculty / trainees / staff to over 80 members, including more than 45 joint faculty from various DOM divisions and other UCSF departments and schools. DoC-IT houses several research centers and initiatives, including :

  • CODEX : The Coordinating Center for Diagnostic Excellence
  • CLIIR : The Center for Clinical Informatics and Improvement Research
  • ADAPT : The Center to Advance Digital Physician Practice Transformation
  • IMPACC : The Impact Monitoring Platform for AI in Clinical Care in partnership with UCSF Health

DoC-IT is also the home of the Clinical Informatics Fellowship program, which supports the training of future physician leaders in the field. DoC-IT has a large extramural research portfolio and many research faculty who are supported by grants. Extramural funding comes from diverse sources such as NIH, NSF, AHRQ, private foundations, and federal and industry contracts.

Bachelor's degree in related area and / or equivalent experience / training

Minimum 6+ years of directly relevant experience (i.e., progressively responsible academic and financial management experience, or equivalent experience, encompassing financial management, strategic planning and organizational development, and human resource management) and 5+ years of lead / supervisor / manager experience required

Minimum of three years of experience hiring and managing high performing employees

Excellent project management skills, including the capability of managing capital projects

Excellent skills to work collaboratively and act persuasively in sensitive situations; skills in conflict management techniques

Excellent interpersonal skills to effectively lead, motivate and influence others and develop and maintain high standards of customer service

Broad knowledge of the organization's processes, protocols and procedures with a focus on budget, account and fund management and / or personnel management under labor contract(s) and personnel policy

Broad knowledge of financial analysis and reporting techniques; human resources and risk management planning; and / or accounting and payroll

Strong verbal and written communication skills; ability to influence / persuade all levels of staff

Skills in organization and customer service to effectively manage multiple important priorities. Proven ability to organize department work functions in an efficient and effective manner

Broad knowledge of common organization-specific and other computer application programs

Skills to work collaboratively with other units

Proven skills to quickly evaluate complex issues and identify multiple options for resolution

Demonstrated management and conflict resolution skills to effectively lead and motivate others

Independent and critical thinking paired with strong skills in teamwork and use of judgment in determining priorities and what decisions need to be moved to a higher level

Demonstrated ability to maintain discretion and confidentiality

Master's degree in business, health management, public health, or related field

Comprehensive understanding of academic healthcare / university policy and procedures related to management of extramural funding
