Responsibilities
The Coordinator of Alumni Engagement, Alumni Operations and Facilities manages the Alumni facilities. The position is tasked with assisting with the Administration and Operations of the Alumni Association. The position is a front-line position, and assumes the responsibilities of first impressions for the Alumni Association office. This position provides excellent customer service and oversees the successful implementation of all related functions and reports directly to the Assistant Director of Operations and Administration.
Provides administrative and operational support and provides recommendations to the Assistant Director of Alumni Engagement, Operations and Administration. This includes purchasing, processing disbursements, department mail, inventory, departmental security (DSC), internal onboarding processes, and the PCI processes.
This position will also welcome visitors and assist alumni providing exceptional customer service. Contributes to the overall success of the Alumni Association by working with all customers, teams and departments collaboratively and professionally.
Manages the day-to-day operations of the 22,000 sq ft facilities; coordinates with internal and external stakeholders on all facility operations including managing functional space at the Alumni Center, maintenance and upkeep of facilities, COOP planning and implementation, AV systems, facility rental processes and contracts. Coordinates with the Assistant Director to develop, implement, and manage the operations and facilities expense budgets. Annual environment audits including exterior evaluations conducted annually by FSU Police.
Responsible for day-to-day and scheduled maintenance of Alumni Association's assets including but not limited to vehicle maintenance / repairs, A / V equipment, laptops / desktop computers, and copy machines.
Supervises and coordinates the OPS and work study programs, including daily management of schedules and assignments, providing opportunities for professional development.
On behalf of the ED of Operations and Administration, serves as liaison between the Alumni Facilities Rental Staff, clients and the Alumni Association Accounting Staff to ensure timely contract invoicing and payment processing. Protects confidential information. Conduct market research annually for rental rate competitiveness to drive revenue for Alumni Affairs. Manages Aramark / Traditions Catering with the university to ensure high quality service to the Association and clients booking space. Oversee customer service policy and practices and training of staff to provide alumni and visitors to Center a top-tier experience.
Responsible for the Association's supply management controls including completing the University's inventory completion certification process and annual computer device audit. Serves as one of the Association's property management designees.
Performs special projects and other duties as assigned.
Qualifications
A Bachelor's degree and two years of experience; or a high school diploma or equivalent and six years of experience. (Note : a combination of post high school education and experience equal to six years.)
