Summary / Objectives :
The Document Control Specialist is responsible for managing and maintaining documentation systems related to manufacturing processes. This includes the creation, organization, distribution, and archiving of controlled documents, such as work instructions, standard operating procedures (SOPs), customer documentation, engineering specifications, and quality assurance documents. This role ensures compliance with industry regulations and quality standards while supporting the efficient flow of manufacturing documentation throughout the organization.
This position works closely with Engineering, Production and Quality as well as our Contract Manufacturing Customers and other Pelco Solutions locations to ensure documents accurately reflect current processes, product requirements and customer expectations.
Essential Duties and Responsibilities include the following :
Organize and control all manufacturing-related documentation (SOPs, batch records, drawings, specifications, etc.), ensuring they are up to date, accurate, and compliant with relevant industry standards.
Maintain a document control system to track revisions and ensure that the latest versions of documents are used in production and quality control.Review and approve documents for content accuracy and completeness before they are released for production use.Cross-functional & Customer Collaboration :Coordinate with Production to ensure work instructions, manufacturing aids, and build documentation reflecting current processes and needs.
Interface with the TraffiCalm contract manufacturing customers, serving as the main contact / coordinator regarding document submissions, approval requirements, build packages, and revision control, ensuring customer issues are resolved and expectations are met.Work directly with Engineering to manage document updates related to ECOs, product revisions, drawings, and specifications.Support Quality by maintaining controlled documentation required for audits, investigations, and compliance activities.Version Control :Manage a system for version control, ensuring that obsolete documents are properly archived and not used in the manufacturing process.
Coordinate the revision and approval process of controlled documents across departments.Compliance & Quality Assurance :Ensure that all controlled documents comply with company policies, industry regulations, and relevant standards (such as ISO 9001 : 2015, MUTCD, etc.).
Assist with audits, inspections, and regulatory reviews by providing necessary documentation and ensuring all required documents are available and in order.Training & Support :Provide support to manufacturing and quality teams regarding the use of controlled documents, including training on document control procedures and systems.
Act as a point of contact for questions related to document control and record management.Document Archiving & Retrieval :Ensure the secure archiving of outdated documents and records, following regulatory and company retention policies.
Facilitate the retrieval of historical documents as needed for audits, inspections, or corrective actions.Continuous Improvement :Identify opportunities to improve the document control process and recommend improvements to increase efficiency, accuracy, and compliance.
Participate in projects aimed at enhancing document management systems or processes within the manufacturing and quality functions.Other Duties :Communicate promptly and professionally.

Qualifications
Education and / or Experience :
High school diploma or equivalent with relevant experience required; associate degree in a technical field preferred.2-years' experience in document control or quality assurance required.Experience in manufacturing environment preferred.Familiarity with regulatory requirements such as ISO 9001, and MUTCD regulations, or similar industry standards preferred.Ability to speak, read, write and understand the English language required.Skills & Competencies :
Excellent communication (verbal and written) and interpersonal skills.Strong attention to detail and organizational skills.Ability to manage multiple tasks and prioritize effectively.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and NetSuite.Understanding of quality management systems (QMS) and regulatory compliance.Ability to work independently and as part of a team in a fast-paced manufacturing environment.Commitment to fostering a culture of quality and safety.Physical Demands :

Office and manufacturing plant, non-controlled climate, mechanical equipment, moving objects, fumes, odors, dirt, and dust.Full-Time. Expected Hours : Monday through Thursday, 7 : 00AM - 4 : 30PM and Friday 7 : 00AM - 11 : 00AM. Work schedule is subject to change.
