Membership Services Coordinator

Addison Group is hiring for a client that is a membership-based professional organization supporting hospitals and healthcare providers. We are seeking a highly organized, detail-oriented Membership Services Coordinator to join our client's membership team. This role supports member engagement, committee meetings, and administrative operations. The ideal candidate thrives in a task-focused environment, enjoys coordinating multiple schedules, and has strong problem-solving and communication skills.

The Membership Services Coordinator will manage membership data, assist with meeting planning, and provide support for leadership and member services initiatives. This role offers exposure to a professional membership organization and opportunities to contribute to smooth operations and meaningful member interactions.

Key Responsibilities :

  • Maintain accurate and up-to-date member records, including committee members and board participants.
  • Coordinate annual committee schedules, send invitations, manage RSVPs, and follow up with members as needed.
  • Draft and distribute meeting agendas and minutes; synthesize discussion points and ensure key decisions are captured.
  • Support leadership with scheduling, correspondence, and follow-ups related to committees and member initiatives.
  • Manage membership database updates and general data entry.
  • Assist with document preparation, expense reporting, and other administrative tasks for the membership team.
  • Support mailings for membership recruitment, retention, and communications.
  • Provide coverage as needed for office administration tasks.
  • Assist in scheduling, coordinating, and preparing materials for meetings and events.
  • Support logistics for in-person and hybrid events, including printing, collating, and distribution of materials.
  • Input and maintain accurate event-related information in the membership system.

Qualifications :

  • 2+ years of experience in an administrative or customer-facing support role, ideally within a professional society, association, or membership-based organization.
  • Advanced proficiency in Microsoft Office Suite (Word, Outlook, Teams, PowerPoint).
  • Experience with data entry, preferably using Fonteva, Salesforce, or similar systems.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities.
  • Excellent written and verbal communication skills; professional correspondence experience.
  • Bachelor's or associate's degree preferred.
  • Familiarity with virtual meeting tools such as Zoom or Teams.

  • Strong critical thinking and problem-solving skills.
  • Ability to work independently and anticipate leadership needs.
  • Comfort handling confidential or sensitive information.
  • Additional Details :

  • Hybrid work environment with two days per week in-office required.
  • Occasional travel may be required for meetings, events, or conferences.
