Job description

As a Sales Asset Coordinator , you manage the complete lifecycle of photography assets across all brands and product lines. Your primary role is to oversee the intake, organization, tracking, and delivery of all product content, ensuring deadlines for retailer and product launches are met. You will establish seamless coordination and communication between Sales, Brand, Product Development, and the Photo Department. A core responsibility is to ensure photo requests are accurately submitted and prioritized within the project management system. Crucially, you will maintain precise data integrity by ensuring all assets are correctly catalogued, tagged, and tracked within the Digital Asset Management (DAM) systems and related product databases.

What You Will Do

  • Oversee the intake, cataloging, and organization of photography requests and production sample assets within project management system, and DAM systems (e.g., Wrike, Bynder, Salsify, Resource Space, or equivalent).
  • Track production samples through each stage of product development and photography workflow — from intake, studio scheduling, and post-production to final asset delivery.
  • Collaborate with cross-functional partners in Sales, Brand, Product Development, and Photography to ensure product photography meets launch deadlines.
  • Maintain accurate metadata, SKU / style code tagging, and asset relationships within DAM and related systems.
  • Utilize Excel and Google Sheets for data validation, lookups (VLOOKUP, XLOOKUP, INDEX / MATCH), pivot table reporting, and conditional formatting to reconcile sample tracking, photography requests, and asset status.
  • Generate photo request trackers, shot lists, and sample status reports for ongoing visibility across internal teams.
  • Support automation and integration efforts between systems such as Wrike, Salsify, Sage X3, and DAM for efficient asset and data flow.
  • Uphold brand guidelines, file naming conventions, and image quality standards across all deliverables.
  • Work with sales teams to provide information needed. Check the project management system and digital asset management system for skus and advise status (ie. Pending Sample, Sample Arrived or In Photo Queue). Work with Sales and Brand to ensure samples are delivered for photography. Work with Production team on timelines - due dates.
  • Responsible for tracking, receiving, organizing and returning all FEP / Production and Paint Master samples needed for photography and helping to print photo requests.
  • Update reports and dates based on arrival and notify Production team if items are late or delayed.

What We Are Looking For

  • Associate's degree preferred
  • 2+ years of experience as a coordinator or project manager, including digital assets
  • Toy industry or direct-to-consumer experience is a plus
  • Excellent written communication, intermediate-level knowledge of Excel, and experience with Gmail.
  • Project management, Excel / Google sheets (including VLOOKUP / XLOOKUP, Pivot tables, etc).
  • Photoshop experience, knowledge of image file types, and metadata are a plus.
  • Experience in Digital Asset Management (DAM) and production workflow coordination.
  • Proficiency with Excel and Google Sheets (including VLOOKUP / XLOOKUP, pivot tables, conditional logic, and data validation).
  • Familiarity with project management tools (Wrike, Asana, Monday.com, etc.) and PIM systems (Salsify, ShotFlow, or similar).
  • Exceptional attention to detail and ability to manage multiple SKUs and deadlines simultaneously.
  • Excellent organizational, communication, and cross-functional collaboration skills.
  • Working knowledge of image file types, metadata, and photography production terminology.
  • What we offer

    The base salary may vary based on experience, role tenure, performance, industry, and location. Eligibility for the annual performance incentive may apply. Jazwares is a multi-state employer, so the salary range may not apply to other states.
