About the Role
This role reports directly to the Chief Accounting Officer, Sr. Vice President + Controller and has primary responsibility for processing and recording Payroll for the corporate office and corporate owned centers. This position will manage the payroll process and related reconciliations.
A Day in the Life
- Manages and reviews day-to-day responsibilities of the entire Payroll Administration including multi state payroll taxes and reconciliation of bank activities.
- Prepare and review weekly and bi-weekly payrolls using our 3rd party payroll vendor ADP. Payrolls include hourly and salary wages, overtime, bonuses, tips, stock compensation, allowances / special stipends, tax deductions as well as insurance and 401K deductions.
- Ensure payroll and related tax liabilities are paid timely and in accordance with regulatory deadlines.
- Prepare, process and reconcile payroll related to vesting of stock compensation, including timely payment of tax liability and share transfers from Certent to Fidelity.
- Timely and accurate processing of terminations, bonus calculations and manual checks as needed.
- Prepare and record weekly and bi-weekly payroll activity via journal entry from ADP into NetSuite accounting system.
- Reconcile 401K payroll deductions and Company match to Fidelity 401K plan, process funding of 401K deduction.
- Reconcile health insurance deductions to insurance invoices monthly and allocate expense to cost centers. Includes reconciliation of HSA deductions and match.
- Reconcile COBRA payments to insurance coverage.
- Reviews monthly, quarterly, and annual payroll tax filings.
- Reconcile the payroll system to the general ledger; identify any differences and assists with the resolution / recording of corrections.
- Reviews all changes made to the payroll system for completeness and accuracy.
- Responsible for and manages workers' compensation audits, includes resolution of auditor inquiries and evaluate findings.
- Analyzes and provides written explanations of variances of payroll and related expenses and accrued compensation.
- Assists with the annual 401K audit.
- Ensures that all inquiries received by the payroll team are responded to in a timely manner.
- Identifies and implements changes in processes to enhance internal controls related to payroll processing.
- Supports audit-related requests surrounding internal control processes and financial statement activity / related balances.
- Special projects and analysis as required.
What Sets You Apart
Payroll processing expert - this is a hands-on role where the ideal associate will possess a complete and in-depth understanding of all payroll and related activities.Possess strong federal and multi state payroll tax knowledge and ability to apply to current and future employee base.Advanced knowledge of 3rd party payroll processing systems, such as ADP Workforce Now.Previous experience processing stock compensation, RSU's and stock options.Intermediate MS Excel background.General ledger and subledger reconciliation experience incorporating third party support and the ability to explain differences.Knowledge of accounting principles, including accrual-based accounting and IRS taxing requirements.Highly collaborative - Ability to work effectively with diverse operating styles and expectations among functional leaders.
