Position : Staffing Scheduler
Location : Complete Care at Margate Park, Chicago, IL
Employment Status : Full-Time
Shift : Day Shift
Experience : Long Term Care Experience Required
Key Responsibilities of a Staffing Scheduler
As the Staffing Scheduler, you will play a crucial role in ensuring optimal staffing levels and smooth daily operations. Your key responsibilities will include :
Schedule Management : Create and maintain staff schedules for all shifts and departments, ensuring adequate coverage to meet resident care needs and regulatory requirements.
Attendance Tracking : Maintain accurate records of call-outs, tardiness, and early arrivals, tracking attendance patterns and assisting with accurate payroll preparation.
HR Communication : Maintain open and consistent communication with HR regarding FMLA, non-FMLA leaves, employee resignations, status changes, and other necessary information to ensure compliance and proper employee records.
Recruitment & Retention : Coordinate effectively with HR on employee retention and recruitment processes, assisting in identifying staffing needs and supporting strategies to attract and retain talented individuals.
Reporting : Generate reports related to staffing levels, absenteeism, and overtime to assist management in crucial decision-making.
Addressing Shortages : Address immediate staffing shortages by seeking available personnel, adjusting schedules, or utilizing agency staff as needed.
Collaboration : Collaborate effectively with department heads to understand their staffing requirements and proactively address any concerns.
Compliance : Ensure compliance with collective bargaining agreements (if applicable) and company policies regarding scheduling.
Support : Perform other duties as assigned by the Assistant Director of Nursing, Director of Nursing, and Administrator, contributing to the overall efficiency and success of the facility.
Qualifications
To be successful in this role, you should possess :
Education : High School Diploma or equivalent.
Certification : Current CNA (Certified Nursing Assistant) Certification is preferred.
Experience :
Demonstrated experience with staffing schedules, preferably in a healthcare or similar environment.
Previous Long Term Care experience is required.
Previous scheduling experience preferred.
Skills :
Strong organizational skills and exceptional attention to detail.
Proficiency in Microsoft Office Suite and strong computer skills.
Excellent written and verbal communication skills to interact effectively with staff, management, and external agencies.
Ability to work independently to manage daily tasks and priorities, as well as effectively work as part of a group to achieve common goals.
An inherent enthusiasm to learn new job functions and adapt to evolving responsibilities and systems.
