This position is a report to an Operations Management Consultant II in the Director's Office in the Division of Air Resource Management. Will conduct organizational studies and evaluations on office procedures providing technical assistance and developing procedures to assist the Division of Air Resource Management to operate more efficiently and effectively. The responsibilities of this position are to provide administrative and operational support coordination to the director's office as well as to provide coordination support to other division offices and sections. The position requires the incumbent to perform multiple tasks in a professional manner to meet deadlines. The incumbent is expected to be aware of and abide by the Department's standards of conduct, as well as established rules, regulations, directives, policies and procedures, and laws applicable to the position.

Public Records Requests : Assist the Office of Business Planning with any coordination of data entry and tracking of public records requests within the division.

Support : Coordinate and provide back-up assistance ensuring the division office main phone is covered fully during business hours, distribute and process incoming and outgoing mail for the division, track division employee attendance in up-to-date real time.

Data Entry and Data Management Duties : Contribute to the intake, processing, and indexing of data and information associated with fiscal and administrative operations and regulatory programs consistent with Division and Departmental methods and practices.

Scheduling : Coordinate and maintain the Director and Deputy Director's calendars, schedule appointments, coordinate meetings, and handle incoming telephone calls to the Director and Deputy Director's office.

Presentations : Assist in reviewing and ensuring presentation materials meet DEP's Communications Office standards.

Travel : Arrange travel and processes vouchers for reimbursement of travel expenses for the Director and Deputy Director as well as processing P-Card and WORKS charges. Become the Division's expert on processing travel including STMS and WORKS.

Performs other duties as required.

Required Knowledge, Skills, and Abilities :

• Knowledge of administrative office procedures and practices
• Skilled in the use of a personal computer including Microsoft Office, Excel, PowerPoint, Outlook and Word and the use of general office equipment
• Ability to communicate effectively, both verbally and in writing
• Ability to maintain orderly filing systems
• Ability to use good organizational skills
• Ability to work independently
• Ability to plan, organize and coordinate work assignments
• Ability to understand and apply applicable rules, regulations, policies and procedures

Minimum Qualifications :

Position of Special Trust Requirement : This position is designated as a Position of Special Trust in accordance with DEP Directive 422, Positions of Special Trust or Responsibility. Successful completion of background screening will be required for this position.

Salary Range Annually : $40,155 - $42,155 (Commensurate based on experience)
