Loaner Car Coordinator

Job Summary :
We’re looking for a proactive and customer-focused Loaner Car Coordinator to be the welcoming face of our Service Department. This role is responsible for scheduling and coordinating service loaner vehicles, ensuring a smooth and professional experience for our guests when their vehicles are in for service or repair. If you’re organized, thrive in a fast-paced environment, and take pride in delivering excellent customer service, we’d love to meet you.
Key Responsibilities :
- Greet and assist customers with professionalism and empathy
- Schedule, confirm, amend, and cancel appointments using Xtime
- Handle high-volume phone and email interactions
- Provide vehicle status updates and answer service-related questions
- Set up loaner vehicles or coordinate with collision centers as needed
- Manage the loaner vehicle inventory
- Perform customer callbacks following service visits
- Direct incoming calls to the appropriate department
- Support Service Advisors and Managers with administrative tasks
- Maintain a clean and organized workspace
- Uphold a polished and professional appearance at all times
Qualifications :
High school diploma or equivalentPrior automotive experience is a plusExperience with CDK / ADP and Xtime is highly desirableStrong communication skills — both verbal and writtenDetail-oriented and highly organizedAble to multitask effectively in a dynamic environmentStrong computer proficiency and internet navigation skillsExcellent customer service mindset and problem-solving attitudeTeam player with a positive, can-do spiritMust pass pre-employment background check and drug screeningIf you're passionate about creating a seamless and helpful experience for customers—even when their day didn’t start on a high note—this role is for you.
