The Scheduling Assistant is responsible for supporting the mission and vision of the organization by maximizing the delivery of services for all assigned clients. This position will work closely with the assigned local office administrative and clinical team and report to the Director of Clinical Services (DOCS) to maintain the permanent scheduled service hours.

Essential Functions

• Maintain Service utilization above 90% for assigned office. Monitor service hours for each client based on permanent schedules. Track and address staff and client cancellations daily. Provide make up, re-schedule, or additional time for schedule changes.
• Maintain Permanent Schedules that includes but is not limited to managing the Client monthly calendars, case assignment sheets, and ensure all schedules are compliant with scheduling laws.
• Maintain staffing logs that includes but not limited to tracking unstaffed hours, partial hours, and fully staffed hours.
• Support new hires that includes but is not limited to tracking Staff training, providing training schedules, and coordinating Day 1.
• Support recruiting that includes but is not limited to maintaining the staffing log, updating staff and Client availability, and supporting recruiting events.
• Triage staff and client concerns.
• Conduct interviews with candidates.
