Job Summary :
We are seeking a highly organized, detail-oriented, and adaptable Administrative Assistant to provide dedicated support to the Total Rewards and Workforce Strategy team. The ideal candidate will demonstrate strong proficiency in Microsoft Outlook, Excel, and Teams, and thrive in a dynamic, fast-paced environment. This individual will be skilled at managing multiple priorities, anticipating needs, and maintaining efficiency amidst changing demands. Success in this role requires exceptional multitasking abilities, strong communication skills, and a proactive, solution-oriented mindset.
Key Responsibilities
- Calendar & Schedule Management
- Efficiently manage and coordinate executive calendars, ensuring all meetings, appointments, and events are accurately scheduled and updated.
- Proactively anticipate scheduling conflicts and make timely adjustments as needed.
Meeting Coordination & Support
Plan, schedule, and organize meetings, including preparing agendas, taking detailed notes, and distributing meeting minutes.Ensure all relevant materials are prepared in advance and assist with week-ahead preparation for key meetings.Expense & Administrative Support
Prepare, review, and submit executive expense reports with accuracy and timeliness.Maintain records and documentation in compliance with organizational policies.Event & Logistics Management
Plan and coordinate team events, meetings, and activities, managing logistics such as venue arrangements, catering, and attendee communication.Collaboration & Team Support
Partner closely with other Executive Assistants within the People & Culture (P&C) function to ensure seamless coordination and consistent support across the broader team .Adaptability & Agility
Embrace change and demonstrate flexibility in managing shifting priorities, competing deadlines, and evolving business needs.Qualifications
Proficiency in Microsoft Outlook, Excel, and Teams.Exceptional organizational skills with keen attention to detail, including managing deliverables across multiple stakeholders.Excellent written and verbal communication skills.Proven ability to handle sensitive and confidential information with discretion.Demonstrated experience providing administrative support to senior leaders or executives.Strong time management skills and the ability to work effectively in a fast-paced, dynamic environment.Prior experience supporting Human Resources (HR), Total Rewards, or a related business function preferred.
