What you’ll do (day-to-day)

Office Administration

  • Operations support : phones, inbox triage, scheduling, client onboarding, e-signature packets, and portal access.
  • Document control : collect W-9s, certificates, statements; file and tag docs; prepare simple client reports.
  • Team support : meeting prep, light HR / admin tasks, supply management, and steady follow-through on checklists.
  • Compliance support : collect W-9s, help prep 1099 lists, and coordinate quarter-end handoffs to the tax team.
  • Quality control : maintain naming conventions, check math, and flag discrepancies early.
  • Client AP / AR & Bookkeeping

  • Accounts Payable : enter / vendor-code bills, route for approval, schedule payments, and keep vendor files current.
  • Accounts Receivable : create / send invoices, apply payments, post deposits, light collections (friendly reminders).
  • Reconciliations : weekly bookkeeping and monthly bank / credit card reconciliations for clients.
  • What makes you a great fit

  • Experience with bookkeeping, and / or AP / AR operations (service-business experience is a plus), and office admin.
  • Confident in QuickBooks Online and Excel / Sheets; comfortable learning new tools.
  • Detail-obsessed and deadline-reliable; clear, friendly communicator with clients and teammates.
  • You enjoy checklists, consistent processes, and improving small systems that save time.
  • Schedule & work setting

  • FT in our office in Snohomish, WA (client files and in-house bookkeeping support require on-site presence).
  • Monday - Friday, during regular business hours.
