Position Summary
The Automation & Sourcing Strategy Manager will design, implement, and maintain automated procedures that streamline recruiter workflows, administrative activities, and candidate sourcing. This role will blend process improvement, technology implementation, and recruitment intelligence to enhance productivity, reduce manual workload, and elevate the firm's competitive advantage. This person would also develop and coordinate with offshore resources.
Key Responsibilities
- Automation Development & Workflow Optimization
- Assess current recruiter and administrative workflows to identify automation opportunities.
- Design and implement automated procedures for routine tasks, including :
- Candidate and client data entry
- Email follow-ups and scheduling
- Document generation and formatting
- CRM / ATS updates and reporting
- Build and maintain templates, macros, scripts, and process documentation.
- Implement tools such as Zapier, HubSpot workflows, Bullhorn / Greenhouse automations, custom scripts, or AI-driven solutions.
- Partner with leadership to define KPIs for automation efficiency and performance.
- Sourcing Strategy Development
- Develop scalable, repeatable sourcing strategies tailored to executive-level searches.
- Implement automated sourcing tools and AI-driven candidate mapping techniques.
- Optimize Boolean search strings, AI sourcing workflows, and multi-channel candidate outreach.
- Integrate market intelligence tools and talent mapping systems into sourcing operations.
- Train recruiters on improved sourcing methodologies and technology usage.
- Technology Integration & Systems Management
- Evaluate, recommend, and deploy technology platforms for automation and sourcing.
- Maintain integrations between ATS / CRM, communication tools, job boards, and analytics platforms.
- Troubleshoot system issues and coordinate with vendors as needed.
- Ensure data hygiene and consistency across systems.
- Administrative Process Improvement
- Create automated systems for :
- Timesheets, expenses, and internal reporting
- Contract / offer generation
- Client status updates and meeting prep
- Standardize administrative workflows to reduce time spent on low-value tasks.
- Support recruiters and operations staff with training, documentation, and troubleshooting.
5 Develop offshore resources as necessary to help execute all of the above
Qualifications
Required
Bachelor's degree in Business, HR, Computer Science, or related field (or equivalent experience).2–10 years of experience in recruitment operations, talent acquisition technology, process automation, or similar roles.Strong hands-on experience with recruitment tools (ATS / CRM systems, sourcing platforms, job boards).Proven ability to build automation using tools such as Zapier, Make.com, HubSpot, Salesforce, Python scripts, or equivalent platforms.Advanced understanding of Boolean search, candidate sourcing, and recruitment workflows.Strong analytical, problem-solving, and project management skills.Preferred
Experience working within an executive search or staffing environment.Familiarity with AI sourcing tools (e.g., HireEZ, SeekOut, LinkedIn Talent Insights).Experience documenting processes and training teams on new workflows.Knowledge of data visualization tools (e.g., Power BI, Tableau) for reporting automation.Key Competencies
