Job Description

Our client, one of the largest medical organizations in the country, is seeking a temporary Executive Assistant. The position will support the CEO and COO across multiple time zones in a fast-paced, high-profile environment. The executives are extremely dynamic and high performing, requiring someone highly experienced, resourceful, and proactive to keep up with the pace and maintain high standards. This is a demanding but rewarding role, with the potential for future opportunities within the organization for top performers.

Please note this is a hybrid schedule that requires an in-office presence four days per week.

Responsibilities :

  • Manage complex calendars for the CEO and COO, coordinating meetings across multiple time zones and adjusting schedules as needed
  • Coordinate and maintain all aspects of domestic and limited international travel, including booking through travel agents and handling last-minute changes
  • Oversee preparation and organization of events and meetings, including board meetings, performance reviews, field alignment meetings, and cross-division gatherings
  • Handle expense reporting and ensure timely processing for executive travel and events
  • Support both executives in balancing priorities across multiple enterprises and divisions, ensuring alignment with business objectives
  • Collaborate closely with the EA team and Chief of Staff to maintain smooth operations

Requirements :

  • College degree required
  • 8+ years’ high-level administrative support, with at least 3 (three) years’ supporting executive leadership required
  • Ability to process high-pressure situations with urgency and efficiency while navigating fast-paced, constantly changing priorities
  • High proficiency in Microsoft and Google Suites
  • Experience coordinating domestic and international travel
  • Strong organizational skills, attention to detail, and the ability to handle multiple complex tasks simultaneously
  • Resourcefulness and initiative, with the ability to identify solutions independently and ensure executives are positioned for success
