Position Overview
The Sales Coordinator serves as the operational hub for our 10-person Residential Sales Team, ensuring smooth, efficient coordination across all daily sales activities. This critical role manages lead screening and dispatch, post-call documentation, and sold job scheduling-freeing our sales representatives to focus on what they do best : helping customers and driving revenue.
The ideal candidate thrives in a fast-paced, service-driven environment, has exceptional attention to detail, and takes pride in building structure and flow for others.
With performance incentives :
- Quarterly bonus tied to team metrics (schedule efficiency, sold job conversion, satisfaction)
- Potential for $3,000-$5,000 additional annually in bonuses
Key Responsibilities
Lead Management & Dispatch
Screen incoming leads through ServiceTitan and assigned to the appropriate specialist (Plumbing vs. Drains).Balance daily call volume across a 10-person team (average 4-9 calls per rep).Optimize schedules and routes for efficiency and responsiveness.Handle real-time schedule changes, urgent requests, and reroutes with composure and accuracy.Post-Call Coordination
Conduct post-call debriefs with sales reps to confirm job details.Verify documentation accuracy : invoices, job summaries, and photo uploads.Support estimate revisions or adjustments as needed.Ensure all required information is entered into ServiceTitan before scheduling work.Sold Job Scheduling
Schedule sold jobs with customers, install crews, and subcontractors.Coordinate across divisions (Sales, Install, Maintenance, and Turnover) to ensure seamless handoffs.Manage conflicts, reschedules, and changing timelines with proactive communication.Administrative Support
Handle time-consuming administrative tasks for sales reps.Process permits, documentation, confirmations, and follow-up communications.Maintain accurate records and reporting in ServiceTitan.Required Qualifications
Must Have :
2+ years' experience in dispatching or scheduling coordination (30+ appointments per day).Highly organized with a sharp eye for detail and follow-through.Proven ability to manage multiple priorities in a fast-paced environment.Resourceful problem solver who remains calm under pressure.Excellent communication skills across phone, text, and email.Highly Preferred :
ServiceTitan experience (or similar CRM / scheduling software).Background in home services or skilled trades (Plumbing, HVAC, Electrical)Experience supporting or coordinating 5+ field personnel.
