Role OverviewMillennium Events is seeking a highly disciplined, exceptionally capable Executive Assistant to serve as a trusted extension of executive leadership. This role requires absolute reliability, advanced organizational skill, and the ability to operate calmly and decisively in a fast-moving, high-stakes environment.
This position is not task-based support—it is impact-based. The Executive Assistant will manage sensitive information, interface with high-profile clients, and support leadership across operational, financial, and event-related functions. Precision, discretion, and accountability are mandatory.
Scope of Authority & Access- Direct access to executive leadership, internal operations, financial processes, and proprietary business information.
- Exposure to confidential client relationships, high-profile events, internal strategies, and future business initiatives.
- Entrusted with information that requires sound judgment, professional restraint, and strict confidentiality at all times.
Core Accountability AreasExecutive & Administrative Operations
- Manage executive calendars, meetings, communications, and follow-up with accuracy and urgency.
- Serve as a professional point of contact for internal teams, clients, and external partners.
- Attend meetings, job sites, and events; document discussions and ensure execution of action items.
- Maintain precise and organized records within internal systems.
Client, Financial & Event Support
- Prepare and distribute invoices; assist with payment tracking and client follow-ups.
- Conduct post-event client communication to ensure satisfaction and resolution of outstanding matters.
- Support event coordination, logistics, purchasing, and inventory management.
- Ensure supplies and materials are ordered, tracked, and available according to operational needs.
Operational Continuity
- Provide elevated support during peak production and event seasons.
- Adapt quickly to shifting priorities and urgent business demands.
- Collaborate cross-functionally to ensure smooth operations during high-volume periods.
- Remain available for evenings and weekends when required by event schedules or executive needs.
Confidentiality & Professional Standards- Maintain strict confidentiality regarding high-profile clients, internal operations, financial data, and upcoming events.
- Safeguard proprietary information and exercise discretion in all communications.
- Demonstrate impeccable professionalism, judgment, and reliability.
- Represent the company with composure and credibility in all environments.
Operational Demands- Fast-paced, deadline-driven environment with frequent changes and competing priorities.
- Combination of office, remote, and on-site event locations.
- Evening and weekend availability required based on business needs.
- Requires comfort operating independently with minimal supervision.
