Description
This is an on-site role. The Assistant Project Coordinator will provide support to the Project Managers / Project Coordinators and customer services as a team member of the Engineered Systems and Recertification Team. The Assistant Project Coordinator will be supervised by the Administrative Program Manager, and will provide occasional administrative support to other departments as needed.
Essential Duties and Responsibilities :
Organize Project Logistics for Engineering Systems and Recertifications teams
- Arrange and book all travel arrangements for both Engineered Systems and Recertification team on each project.
- Provide P.O. and logistics for rental equipment, calling off rental equipment once confirmed by installer, technician or Project Manager.
- Send out required Weekly Schedule to Installers.
A ssist Project Managers with training, inspections and close-outs
Setup training with safety councils as required, update matrix for both teams.Sending Inspection reports, creating Opportunities for recertification teams.Project Close-Out assistance, Scanning, creating manuals, turning in As-Built requests for both teams.Maintain Project Documentation
Create accurate Job books for Engineering Systems and Recertification with all proprietary and up to date information for each installationUpdating 3rd party Vetting sites where requiredOrder office suppliesSend out Award Call details / informationOther duties to support operational improvements as needed.Requirements
Excellent communication and customer service SkillsTime management and ability to manage workload.Excellent communication and organization skillsProblem Solving and conflict resolution skills.Advanced user of MS Office (Word, Excel, PowerPoint), CRM, Adobe, Solomon, and web-based portals.Must be able to work onsite at the work locationSalary Description
