JOB SUMMARY : The Senior Commercial Loan Administrator plays a key role in supporting the full lifecycle of complex commercial lending transactions, including origination, underwriting support, documentation, processing, and ongoing servicing. This position operates with a high degree of independence and discretion, ensuring compliance with bank policies and regulatory guidelines. The role supports strategic business growth through cross-functional collaboration with lending officers and risk management teams, serves as a subject matter expert, and is responsible for developing and maintaining internal loan operations processes to improve accuracy and efficiency.

WORK SCHEDULE : Monday through Friday, 8 : 30 am - 5 : 00 pm

PAY DETAILS : The typical salary for this position is $69,498. Individual salaries are determined based on various factors, including but not limited to job-related knowledge, skills, experience and internal equity.

ESSENTIAL FUNCTIONS - Listed below are some of the essential functions to carry out this job .

Loan Processing & Documentation :

  • Act as the primary loan support liaison for Commercial Lending Officers and credit analysts.
  • Lead the preparation of commercial loan documentation, ensuring accuracy and completeness for complex credit structures (e.g., participations, syndications, construction loans).
  • Independently set up new loans and lines of credit in the Bank's core systems and ensure quality control of input.
  • Coordinate with internal and external parties (attorneys, title companies, appraisers, insurance providers) to gather required documentation and resolve exceptions.
  • Maintain and oversee the filing and renewal of UCCs and lien perfection processes.
  • Review and validate loan documents for accuracy against credit approvals.
  • Serve as contact person for loan servicing for the commercial department.

Loan Servicing & Reporting :

  • Submit SBA 1502 and other regulatory reporting on schedule and maintain readiness for audits.
  • Lead tracking of maturities, insurance compliance, and financial statement receipt.
  • Prepare and deliver internal reports on loan pipeline activity, exception tracking and regulatory updates.
  • Perform advanced system functions in Loan Origination and Core Banking platforms, and coach junior staff on usage.
  • Administrative Responsibilities :

  • Coordinate all aspects of commercial loan closings, serving as the primary operational lead between lending, credit and legal.
  • Respond to advanced borrower and relationship manager inquiries regarding loan structures, covenants and collateral.
  • Support post-closing reviews and internal audit readiness.
  • Review, develop, and recommend improvements to procedures and workflow within the department.
  • Serve as a resource for internal and external parties.
  • Reporting and Compliance Tasks : Responsible for the timely execution of recurring and ad hoc reporting tasks to ensure regulatory compliance and operational efficiency. Monthly duties include generating Loan Maturity and SBA 1502 reports, maintaining appraisal and collateral tracking logs and coordinating post-loan audits. Daily tasks involve updating loan rate sheets and managing departmental mail. Duties include loan onboarding, regulatory checks (BOC, OFAC), appraisal ordering, title tracking and documentation of line of credit activity. Annual responsibilities include financial statement collection and submission of required state reports.

    SUPERVISORY RESPONSIBILITIES : While this position does not have direct supervisory responsibility, it provides workflow guidance, procedural leadership, and acts as a Coordinator between the lender, borrower, internal departments and third party vendors.

  • Associate's degree preferred; Bachelor's degree in finance, accounting or business administration is a plus.
  • Minimum of three (3) years of experience in commercial loan operations or loan administration, preferably with exposure to complex loan structures.
  • Proficient in Microsoft Word and Excel; familiarity with DNA and Nautilus.
  • Strong attention to detail, organization, and communication skills.
  • Ability to work independently, manage multiple priorities and provide excellent customer service.
  • Must complete annual compliance training and remain current with lending procedures and industry standards.
