Salary : $20-$25 per h

This position provides high-level administrative support to the Leadership team while also supporting sales, customer engagement, and general office operations. This role involves managing schedules, preparing documents, maintaining CRM and data systems, coordinating events, and ensuring smooth day-to-day administrative functions. The ideal candidate is detail-oriented, tech-savvy, and comfortable juggling multiple priorities in a dynamic environment. This position is required to work in the Londonderry, NH office weekly and will also allow flexibility to work remote.

Job Responsibilities

Leadership Assistant

  • Work with the Leadership team on various administrative tasks.
  • Schedule meetings, follow up after meetings.
  • Data management (filing, organizing), sending documents and following up on loose ends.
  • Prepare, review, and edit documents and presentation materials.
  • Research and data collection.

Sales and Engagement

  • Maintain up-to-date customer contact and other information in CRM and various related software platforms. (QuickBooks, SharePoint, Proprietary Platforms)
  • Assist with organizing customer related data for efficient access, consistency, and reporting.
  • Assist with scheduling and organizing events.
  • Maintain inventory of sales and engagement materials.
  • Other Administrative

  • Answer and manage incoming calls, providing professional and friendly customer service.
  • Distribute incoming mail, facilitate outgoing mailings.
  • Scanning and filing as needed.
  • Deposit customer payments to the bank.
  • Assist with the processing and dissemination of customer invoicing and reporting.
  • Assist with collections efforts.
  • Assist with processing rebates via Perfect Gift or related software tools.
  • Other administrative duties as needed.
  • Job Skills & Qualifications :

  • Must have excellent written and verbal communication skills.
  • Proficient in Microsoft Office 365 suite of products.
  • Adaptable.
  • Self-directed, capable of handling various responsibilities with minimum supervision
  • Attention to detail.
  • Ability to manage several tasks simultaneously.
  • Experience working in CRM, QuickBooks, electronic document signing, Canva and other office tools a plus.
  • Background in health care industry, health or workers comp insurance or employee benefits a plus.
  • Education / Experience :

  • High school diploma or equivalent required.
  • Associate degree or bachelors degree in Business Administration, Marketing, Communications, or a related field a plus.
  • 13 years of experience in a professional administrative support role, ideally supporting leadership.
  • Working Conditions / Environment :

    Remote Employees : Remote employees are expected to keep their workspace free of safety hazards. Remote employees are expected to take proper measures to ensure the protection of company data, proprietary information, PHI, and assets. Remote employees should maintain a quiet working environment, free from background noises and distractions. Should an employees remote work environment not be conducive to completing daily work tasks (no power or internet), the employee may be asked to travel to the local office to complete the days work.

    Office Employees : The venue of this position is a general office environment that is clean, well-lighted, environmentally comfortable, free of fumes or airborne particles, and only minimally exposes employees to office solvents limited to those relative to copier equipment.

    This position requires the ability to :

  • Minimal requirement to reach at or above shoulder level; occasionally reaching below shoulder level is required.
  • Hand manipulation - equipment and controls, frequent; grasping and handling, occasional.
  • Ability to travel throughout the territory required
  • Ability to work a flexible schedule, which may include nights and weekends.
  • Ability to tolerate prolonged sitting and / or standing and to lift up to approximately 50 pounds to waist high level whenever necessary.
  • Mobility includes regular sitting, some standing and walking.
  • A sit-stand desk will be provided at the request of the employee.
