Position Overview :

We are seeking a detail-oriented and highly organized Legal Administrative Assistant to support our Torts team with essential case documentation, workflow coordination, and communication management. The ideal candidate will be proactive, dependable, and comfortable handling time-sensitive tasks that help the team maintain compliance and move cases forward. This role involves gathering information, tracking key deadlines, and assisting staff across the firm to ensure smooth day-to-day operations.

This is a full-time, in-office position, Monday-Friday.

Responsibilities :

  • Assist with collecting and organizing essential documentation such as site inspections, police reports, insurance information, and other materials needed for case preparation.
  • Support litigation paralegals by helping prepare, file, track, and deliver notices of claims and related paperwork.
  • Confirm accident dates, update file information, and ensure all documentation is accurate, complete, and properly saved.
  • Help track CUT and other risk-related matters by maintaining logs, updating records, and confirming required information.
  • Serve as a central point of communication between clients, case managers, and internal teams to ensure timely follow-up and clear information flow.
  • Review and organize supporting materials to assist in identifying liability details and maintaining consistent, high-quality file integrity.
  • Collaborate with legal and operations teams to maintain efficient processes, address issues proactively, and keep tasks on schedule.

Qualifications :

  • Experience in administrative support, claims processing, legal office work, or document management.
  • Prior experience in a personal injury or legal setting preferred (paralegal or case manager experience a plus but not required).
  • Familiarity with legal deadlines or procedures in NY, NJ, and PA is helpful.
  • Exceptional attention to detail and strong organizational and tracking skills.
  • Strong written and verbal communication abilities.
  • Ability to multitask, prioritize responsibilities, and work collaboratively in a fast-paced environment.
  • Compensation Range : $50,000-$60,000 USD

    Compensation : The base salary or hourly range for this position will be determined during the interview process and will vary based on multiple factors, including but not limited to; prior relevant experience, business needs and market factors. Additionally, salary wages are only part of the total compensation package.
