R.J. ONeil is a Women and Minority owned Mechanical Contractor specializing in commercial HVAC-R, Piping, and Plumbing. We are seeking an Accounting Coordinator to join our growing team and support daily financial operations.
Position Overview:
The Accounting Coordinator plays a key role in managing the companys day-to-day financial activities, including accounts payable and receivable. Working closely with the CFO, this position provides essential financial and administrative support to both operations and finance. Success in this role requires strong organizational skills, attention to detail, and the ability to handle multiple priorities in a fast-paced, service-oriented environment.
Key Responsibilities:
- Process daily accounts payable bills and related tax-exempt paperwork.
- Process credit card receipts daily
- Bi-Weekly credit card reconciliation.
- Process daily receipts of checks and ACH payments.
- Process daily bank deposits.
- Assist with weekly payroll entry.
- Monthly reconciliation of vendor statements. Includes resolving any bill discrepancies in a timely manner.
- Assist with preparing and sending construction invoices, waivers, certified payrolls, and other invoice documents.
- Maintain accurate purchase order records for all construction projects for sub-contractors and vendors.
- Accounts receivable collections support as needed.
- Submission of invoices in customer portals as needed.
- Assist with submission of public bid opportunities.
- Provide administrative support for customers including but not limited to certificates of insurance, vendor set up forms, W-9s, and other documents.
- Provide support for company process improvement initiatives including transitioning to 100% vendor ACH payments, customer contact info updates, paperless time entry, and other items.
- Opportunity to attend local chamber events on behalf of R.J. ONeil during working hours as needed or when applicable.
Qualifications:
- 2+ years of accounting or bookkeeping experience (construction or service industry preferred)
- Proficiency with QuickBooks Online or similar accounting software.
- Strong excel and data entry skills.
- Excellent attention to detail and organizational skills.
- Ability to work independently and as part of a team
- Strong communication and problem-solving abilities
- Experience with the HVAC-R and Plumbing industry is preferred, but not a requirement.
- Understanding of lien waivers, insurance certificates, and compliance documentation is preferred, but not a requirement.
