SUMMARY

The Institute Academic Advisor is responsible for coordinating academic advising for all undergraduate degree-seeking students at CalArts in order to assist students engage in academic and artistic pathways toward persistence and degree completion. This work includes providing guidance to students regarding their academic requirements and institute policies and procedures, as well as working with students' mentors and school administrators to monitor degree progress and to identify and support students who are struggling.

Under the guidance of the Assistant Provost for Academic Advising and Student Success, the Institute Academic Advisor also develops and implements advising-related initiatives and projects and acts as a liaison to the various Cal Arts Schools on student issues, including reviews, exceptions to institute policies, and transfer credit.

This temporary appointment will continue through May 31, 2026, and will not be benefits-eligible in accordance with Institute policy.

ESSENTIAL JOB FUNCTIONS :

• Advise continuing BFA and MFA (as needed) students on degree requirements and institute academic policies through in person, email, and phone communications.
• Organize and staff on-campus advising events, including advising workshops, new and transfer student academic orientations, and registration support sessions.
• Promote the services offered by Academic Advising across campus and through attendance at student performances and art shows, meetings with school administrators and faculty, and strategic communication plans.
• Interpret articulation agreements from local feeder schools, and advise students on options for completing degree requirements through appropriate transfer credit. Provide preliminary assessment of transfer credit for incoming students in conjunction with the Registrar's Office.
• Develop and distribute advising materials to students and mentors.
• Coordinate and provide support as needed to the schools to ensure timely and accurate processing of regular mentor, residency, and graduation reviews.
• Under the direction of the Assistant Provost, work collaboratively with the Offices of the Registrar and Information Technology to fine tune the online registration and academic self-service interface.
• Collaborate with the Registrar's Office in conducting regular degree progress reviews for all BFA students; identify items of concern and work directly with the schools / programs and the students to set goals for degree completion.
• Support Provost's Office and Registrar staff as needed to maintain the accuracy of student data in Colleague, Slate and other web tools to provide general service to students and faculty.
• Prepare and maintain reports and appropriate documentation of student interactions.
• Provide exceptional, proactive service to students, faculty, staff, and other members of the community that the office serves.
• Other duties as assigned by the Assistant Provost.
