Graduation And Credit For Prior Learning Coordinator

Under the direction of the Associate Registrar, the Graduation & Credit for Prior Learning Coordinator plays a key role in developing, coordinating, and implementing the College's Credit for Prior Learning (CPL) initiative, a Wisconsin Technical College System (WTCS) outcome-based funding metric. This position manages transfer course articulation and the institution's transfer database system; coordinates with program directors, deans, Admissions, and Academic Advising to maintain accurate transfer course information; coordinates evaluation of graduation applications; and maintains student graduation and embedded degree records.

Responsibilities :

  • CPL and transfer responsibilities :
  • Build and maintain positive relationships with faculty and staff who use CPL in their programs.
  • Lead the promotion of CPL for students, community members, faculty, and staff.
  • Partner with recruitment and student services teams to promote CPL to prospective students at both internal and external events.
  • Advise and meet with students about the process for earning CPL.
  • Perform evaluation of students' education and experience for alignment to earn CPL.
  • Identify new CPL opportunities and collaborate with faculty and curriculum to develop and implement CPL assessments.
  • Assist students with navigating and completing the CPL process.
  • Resolve student questions and concerns related to CPL.
  • Manage and expand the institutional Transferology system with course equivalencies, student contact requests, and transfer course approval workflow.
  • Collaborate with the Program Directors / Department Chairs to assess student transfer coursework.
  • Work with the WTCS / UW statewide transfer consortium on best practices and added features.
  • Identify and build course-to-course equivalencies in the Banner ERP system.
  • Remain current on program changes and revisions that would impact CPL, transfer, and graduation.
  • Evaluate CLEP, AP, DANTES, and other credit by examination for equivalencies in student degree program or certificates.
  • Assist students with transfer requests and troubleshoot any concerns.
  • Collaborate with the Veterans Advisor & School Certifying Official to award credit for Military or prior learning experience in student degree programs or certificates.
  • Evaluate student degree audits to verify accuracy and transfer equivalency.
  • Advises staff as the subject matter expert on all transfer and age of credit policies.
  • Verify WTCS and CVTC policy is followed for awarding of transfer or CPL coursework.
  • Resolve historical course equivalencies with the current degree plans.
  • Assure all College transfer websites are maintained for user friendly student experience.
  • Review WTCS transfer data for accuracy, errors, and compliance.
  • Graduation responsibilities :
  • Evaluate graduation applications to determine degree eligibility for all standard and multiple entry students.
  • Create and maintain the eligible graduation candidate list for student review.
  • Collaborate with Student Life on student graduation brochure.
  • Collaborate and develop degree progression data sets with program chairs and deans.
  • Monitor and implement industry best practices for process improvement in graduation processing and documentation.
  • Investigate and resolve degree audit concerns with the curriculum office, program director, and program dean.
  • Evaluate all enrolled students for embedded degree awarding.
  • Evaluate all High School Academy graduation candidates for completion during off standard graduation cycles.
  • Collaborate with institutional IT staff to assist with graduation data and processes as needed.
  • Review WTCS completion data for accuracy, errors, and compliance.
  • Assist students in registration labs or during events as needed.
  • Support Records and Registration team with duties that take priority for student support.
  • Maintain confidentiality of student records in compliance with the Family Educational Rights and Privacy Act (FERPA).

Required Knowledge, Skills and Abilities :

  • Maintain current knowledge of evaluating degree requirements and transfer course policies and practices.
  • Ability to model integrity through self-awareness, personal accountability, ethical behavior, quality standards, and sustainable practices.
  • Ability to think critically by applying problem solving practices, acquiring relevant information, using technology and other resources appropriately, and evaluating alternatives.

  • Ability to recognize personal biases, adapt to different cultural situations, and demonstrate a commitment to respectful interactions with persons of various ethnic, cultural, socio-economic, or educational backgrounds.
  • Advanced knowledge of and skills with technology including software programs for communication, data collection, and decision making including, but not limited to, Office 365 Suite, CRM systems, and ERP systems.
  • Qualifications

  • Bachelor's degree in Communications, English, Education, or related field.
  • Minimum of two years of experience in student services, customer service, or professional office setting.
  • Experience utilizing an ERP, Banner preferred.
  • Experience utilizing a CRM, Target X preferred.
