Job description

PURPOSE

To perform a variety of secretarial / clerical support duties according to standard procedures including computer input and retrieval of student records, schedules, attendance, enrollment and behavior records; prepare correspondence using a standard format; make a variety of decisions within a framework of established procedures; act as receptionist and efficiently handle a multi-line telephone system; have considerable public contact as main contact person, receive, screen, and answer inquiries from students, staff, and the general public; route calls, give directions and respond to requests for information; demonstrate the ability to be detailed oriented and to multi-task and collaborate with co-workers.

SUPERVISION RECEIVED AND EXERCISED

Receives supervision from Administrator and may receive guidance and direction from Administrative Assistant. Exercises no supervision.

  • A minimum of a high school diploma or equivalent
  • Ability to communicate effectively, both orally and in writing, demonstrating accurate English mechanics usage.

ESSENTIAL RESPONSIBILITIES

  • Not all tasks mentioned represent each position but are meant to be representative of a variety of job descriptions within this classification. Duties will vary depending on the assignment of the administrator or school / department this employee is assigned to.
  • Independently performs varied simple to complex secretarial and clerical tasks on a regular, routine nature in accordance with established methods, practices and systems with limited supervision
  • Serves as a receptionist, greeting students, parents, public, and staff in a positive way
  • Receives calls responding to general information and relaying messages
  • Responds appropriately in emergency and crisis situations, sometimes being responsible for staff notification of emergencies, the monitoring of emergency evacuations, and lock-in / lock-out procedures
  • Makes independent decisions within established guidelines and reporting structure
  • Works in conditions which involve frequent interruptions while effectively attending to people and tasks
  • Communicates sensitive information to staff, students, parents and community members, respecting the confidentiality of administration, staff, students, and organizations of the community
  • Follows proper procedure for dispensing medication and giving first aid
  • Prioritizes multiple tasks from a variety of sources, ensuring timely completion
  • Tracks and maintains student attendance and reports to staff and parents
  • Uses data entry to manage student information
  • Maintains student records including academic, behavioral, health, legal and special education as well as providing reports to staff as needed
  • Tracks student immunizations and upholds immunization laws
  • Knows and applies first-aid procedures, including proper methods of dispensing medications
  • Tracks building use information and communicate with staff on needed set-up and maintenance
  • Supports the Associate Principal with administrative work
  • Contributes to the maintenance and distribution of all building keys and security badges as needed
  • Coordinates student locker assignments while maintaining an updated database
  • Programs and prints copies of school bell schedules
  • Assists in managing the health room, making decisions in how to best care for students
  • Ensures incident reports for injuries are completed and submitted
  • Assists in updating the building website

  • EVALUATION

    Performance of this job will be evaluated in accordance with the provisions of the Collective Bargaining Agreement between Sherwood School District 88J and Oregon School Employees Association Chapter #103.
