Job description

Capabilities

Lead the day-to-day administrative activities of the office. Maintain schedule of appointments, coordinate meetings, and follow-up on requirements bringing them to completion for the principles in Customer FO.

Coordinate or perform back-up duties for other offices within the work unit, as needed.

Greet and escort visitors and guests, ensuring a professional and welcoming environment.

Administer and troubleshoot office databases, including time and attendance; update websites / SharePoint sites; set up new user accounts and accesses; run reports; and perform database clean-up tasks as necessary.

Coordinate travel arrangements, including itineraries, passport / visa requirements, and travel documentation, for office-level managers and staff.

Prepare and submit travel, training, and POV vouchers in a timely and accurate manner.

Oversee office supplies, inventory, and equipment, including ordering, maintaining, and troubleshooting, and arrange for repairs, as needed.

Open, sort and distribute incoming mail, newspapers, faxes or other documents.

Track and monitor status of incoming and outgoing cable traffic.

Pass and receive clearances; prepare visitor requests and access lists as necessary; serve as vault custodian.
