Client Services Representative
The Client Services Representative is part of the Clinic Finance Department and performs a variety of front office operations which includes acting as the initial point of contact for all individuals entering the Animal Health Institute, assisting clients with checking-in, obtaining the status of appointments and assist with registration. This individual will provide excellent service and support for the students, faculty, staff, and clients at the Animal Health Institute. The Client Services Representative must develop an understanding of the Animal Health Institute's operations to effectively provide general information regarding the AHI clinics and its services. This position reports to the Manager of Patient Accounts.
Essential Duties and Responsibilities
Check-in and Registration
- Determine how to check in patients and assist clients with check-in processes, both in the building and curbside.
- Ensure optimal client satisfaction upon patient arrival, check-in, registration, and waiting in the lobby.
- Communicate with clients effectively to provide a professional and accurate check in experience and registration process.
- Ensure timeliness of appointment times and provide wait times to clients.
- Provide clients with assistance in completing registration forms as appropriate and necessary
- Communicate with all individuals visiting the Animal Health Institute and escalate complex issues to leadership.
- Serve as a liaison between clients, clinic staff and students by assisting with various questions to reduce number of visits to the Account Representatives.
- Assist with payment collections for clients at the Equine Bovine Center.
Oversee Lobby
Ensure a safe working area for all colleagues and patients.Communicate with patients effectively, greet patients politely, assist with all inquiries and special requests appropriately.Provide optimal level of client services, maintain professionalism to resolve all customer issues, and provide all general information concerning the Animal Health Institute.Coordinate with available University service agents to fulfill customer accommodations.Front Desk Coverage
Occasionally covering for other staff, including in connections with functions of the accounting office; credit, collection, insurance, and billing matters; and other functions performed by Account Representatives at the Animal Health Institute.Other

Education and / or Experience
High school diploma or GED is required.Must have 3-5 years of experience working in a customer service related role.Previous data entry experience is preferred.Previous experience working in a healthcare setting is highly desired.Experience working in a team environment with a high focus on excellent customer service and the ability to maintain a professional demeanor, be detail oriented, and promote a welcoming atmosphere is essential.Computer Skills
Computer proficiency in MS Office (Word, Excel, Outlook).Experience using medical practice management software is a plus.Physical Demands
