Intake Specialist

Position Summary : Under the direction of the Lead Intake Specialist, the Intake Specialist ensures prospective clients are adequately screened for JVS programs and prepared for their next step with the agency. The Intake Specialist conducts one-on-one client meetings, screening for program interest and eligibility, and works with each client to identify their best program or service referral. As a member of the Client Services team, the Intake Specialist creates a first impression of JVS and our programming, and provides client-centered customer service.
Builds Relationships, Collaboration and Teamwork :
Conducts introductory Welcome Meetings with prospective clients, reviews results of the Universal Intake Form and screens for further program eligibility
Based on information gathered in the Welcome Meetings, identifies and processes program or service referral in database
Possesses an in-depth knowledge of all JVS programs and MassHire services
Supports and promotes the mission and philosophy of JVS both internally and outside the agency
Works effectively with other program teams and administrative staff
Provides coverage for the Client Services team in relation to breaks, absences, and meetings, as needed
Accountability and Results Focused :
Able to assess and process next step for each client and conveys this information clearly and concisely
Assists clients in considering their programmatic options and guides client towards program selection
Ensures that all key data is entered into relevant data tracking systems accurately and completely
Effectively uses all software related to Welcome Meetings and referral processing
Troubleshoots tough referral cases by generating strategies and solutions in response to unforeseen and planned changes, setbacks, and challenges
Administrative / Communication :
Represent JVS and effectively communicate about the agency
Communicate effectively verbally and in writing
Communicate regularly with Supervisor to ensure smooth delivery of services
Exercise discretion in handling confidential information
Perform other duties as assigned or requested
Minimum Skills and Qualifications :
Excellent customer service skills and ability to interact with and assist a multi-cultural customer base, including those with low levels of English proficiency and limited educational backgrounds
Customer friendly, patient, and exhibits a high standard of professionalism
Experience working with people with barriers to employment
Prompt, punctual, and demonstrates effective reasoning skills
Demonstrated success in performance tracking, maintaining a contact database, or similar
Bilingual preferred, especially Spanish, Haitian Creole, Portuguese, Amharic or Arabic
EDUCATION REQUIRED : Bachelors Degree or equivalent (4 years) experience
