Job description

Position Title : Administrative Assistant

Location : North Chicago, Illinois, 60064

Duration : 6 Months (Possible Extension)

Work Arrangement : 100% Onsite

Work Schedule : Monday - Friday, 8 : 30 AM - 4 : 30 PM

Position Summary

The Administrative Assistant will provide advanced administrative support to the Global Security leadership team , including the Vice President. This role requires strong organizational skills, attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Provide comprehensive administrative support to the Global Security leadership team, including the VP.
  • Monitor and prioritize email communications, highlighting key actions and drafting routine responses.
  • Coordinate and maintain departmental files in compliance with corporate and legal requirements.
  • Manage calendars, schedule meetings, and arrange domestic and international travel.
  • Plan and organize departmental meetings, including catering and food services.
  • Proactively identify and resolve scheduling conflicts.
  • Follow established company purchasing and administrative procedures.
  • Utilize Microsoft Office Suite, SAP, Concur, and other business-specific software to complete tasks efficiently.
  • Professionally interact with senior-level management and maintain confidentiality at all times.
  • Perform other administrative duties as assigned.

Required Skills and Qualifications

  • Education : Minimum Associate Degree in Office Administration or equivalent required.
  • Technical Proficiency :
  • Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

  • SAP and Concur systems
  • Corporate Travel platforms and related tools
