Facilities Coordinator
As a CBRE Facilities Coordinator, you will play a crucial role in ensuring the smooth operation of our 40,000 sq ft commercial office space. You will work closely with clients, vendors, and contractors to manage facility tasks and work orders, providing essential support to Property Managers regarding repairs and investment plans.
This job is a part of the Facilities Management functional area which focuses on all aspects of the operations of a set of assets, providing support to the Property Managers regarding all repairs and investment plans.
What You'll Do :
- Work with landlords, tenants, and service providers to make sure they implement and recognize all procedures, policies, and reporting formats.
- Plan and coordinate various events, including employee morale events and holiday parties.
- Manage and oversee the facilities vendor budget, ensuring all expenditures remain within allocated limits.
- Process and manage invoicing along with purchasing responsibilities.
- Conduct regular site inspections and suggest necessary repairs.
- Schedule Preventative Maintenance and other maintenance services with vendors and technicians.
- Staff the reception desk, greeting and screening visitors, and administering temporary badges.
- Conduct a variety of administrative duties to support facility operations.
- Acknowledge all client inquiries and collect work orders.
- Collect information reports to find out performance and progress status.
- File work orders, proposals, department files, and other paperwork submitted by vendors.
- Follow instructions, short correspondence, and memos and ask clarifying questions.
- Respond to common inquiries or complaints from clients, co-workers, and supervisors.
- Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.
- Impact through clearly defined duties, methods, and tasks are described in detail.
- Deliver own output by following defined procedures and processes under close supervision and guidance.
What You'll Need :
High School Diploma or GED with up to 2 years of job-related experience.Hospitality background and administrative experience.Ability to follow basic work routines and standards in the application of work.Communication skills to exchange straightforward information.Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.Strong organizational skills with an inquisitive mindset.Basic math skills.
