Job description

POSITION SUMMARY

The customer service specialist is responsible for communication with the customer on the services side of the business. We're looking for a candidate with prior customer service experience who is skilled at explaining technical concepts or assisting customers with technical solutions in an easy-to-understand way. In this role, the person is responsible for assisting in communicating with our customers both before and after the sale. This includes order entry ensuring logistic and technical details are correct while entering orders. Additionally, this role will be responsible for solving logistics issues, expediting orders, and negotiating through troublesome situations to achieve customer satisfaction. They will monitor and verify PO confirmations to ensure accuracy, provide clerical support for calibration certs, certificate of compliance, etc. Data entry is a necessity into Syteline database to ensure all information is accurate and complete.

ESSENTIAL DUTIES AND REPONSIBILITIES

  • Generates quotes for Service Department
  • Explains the different types of services offered and can recommend services if the customer is unaware of the service they need
  • Offers solutions or resolutions to customer issues via the knowledge base of the service team
  • Updates orders with customer information at the receipt of PO
  • Provides customers with order status updates as requested or necessary
  • Communicates with vendors and updates order status as received
  • Communicates with the sales department on orders that overlap between the departments
  • Contacts customers for additional information related to their order as needed
  • Communicates with customers on equipment that is sent in that cannot be repaired or recalibrated and works with sales on replacement options
  • Works with service team, quality and sales on warranty issues

QUALIFICATIONS

  • Minimum Education High school or GED minimum
  • Customer service or other related customer focused experience
  • SKILLS AND COMPETENCIES REQUIRED

  • Technical aptitude and understanding is mandatory
  • Excellent computer skills (MS Word & Excel a must)
  • Data entry skills
  • Attention to detail and concern for accuracy
  • Excellent communication skills both verbal and written
  • Relationship development with key customers and problematic scenarios
  • Willing and able to follow written and verbal instructions and comply with existing standards and procedures
  • Carries on non-routine communications using tact and persuasion as appropriate.
  • Independent judgment and discretion are required
  • High degree of interpersonal skill is needed to establish and maintain effective working relationships
  • WORK ENVIRONMENT : This role is primarily office-based. The position requires extended periods of sitting, using a computer and phone use.

    PHYSICAL DEMANDS : The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and hear. The employee must be able to lift and / or move items over 35 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
