Description : Key Responsibilities

Administrative Support

  • Manage calls, visitors, meetings, and appointments.
  • Organize workflow and project schedules.
  • Prepare and distribute reports, correspondence, and meeting minutes.
  • Support senior management with various administrative tasks.

Communication & Reporting

  • Draft emails and internal communications.
  • Compile and prepare reports for executive and leadership council meetings.
  • Maintain contact lists and track sensitive communications.
  • Community & Employee Engagement

  • Coordinate community involvement, charitable programs and track employee involvement.
  • Manage the monthly employee newsletter.
  • Manage IL Bankpac payments and contributions.
  • Oversee programs like Hometown Hundreds and memorial acknowledgments.
  • Operational Coordination

  • Responsible for taking minutes at and preparing the board room for the weekly Management Meetings, High Five Nominations and awarding the winners.
  • Reconcile general ledger accounts related to sponsorships and contributions.
  • Order business cards and logo wear.
  • Maintain notary renewals.
  • Compliance & Culture

  • Uphold organizational values and ensure adherence to policies and regulations.
  • Promote a respectful, inclusive, and harassment-free workplace.
  • Deliver excellent internal and external customer service.
  • Secondary Duties

    The position of Administrative Officer / Public Relations performs duties specific to the position and other functions as assigned including :

    Committee & Program Leadership

  • Serve as Team Lead for :
  • Booster Squad : organize Random Acts of Kindness and jeans days.

  • Booster Ambassadors : prepare agendas and minutes.
  • United Way initiatives.
  • Educational & Community Outreach

  • Coordinate Teach Kids to Save in local schools.
  • Manage Everfi financial education programs with high schools.
  • Financial & Marketing Support

  • Serve as Imprest Account Holder and reconciler.
  • Prepare Deposit Market Share Reports .
  • Balance Marketing GLs for contributions and expenses.
  • Track contribution requests, prepare checks, and manage registrations and coordinate photo opportunities for check presentations.
  • Event Planning & Social Engagement

  • Organize employee events (e.g., River Bandits outing, holiday parties).
  • Assist with HPG Cycles , Ambassador Club , and Mini Millionaires .
  • Coordinate with Marketing & HR the Yearly Social Media Calendar and Anniversary Schedule .
  • Support setup and gather items needed for all bank-sponsored events such as golf outings, Chamber Events, Outreach events, etc.
  • Coordinate March Madness and John Deere Classic activities.
  • Other duties as assigned

    Requirements : QUALIFICATIONS

    These specifications are general guidelines based on the minimum experience normally considered essential to the satisfactory performance of this position. The requirements listed below are representative of the knowledge, skill and / or ability required to perform the position in a satisfactory manner. Individual abilities may result in some deviation from these guidelines.

  • Associate’s degree (AA) or equivalent from a two year college or technical school plus a minimum of two years experience as a high-level executive assistant; or three or more years of related experience and / or training; or the equivalent combination of education and experience. Educational experience, through in-house training sessions, formal school or financial industry related curriculum, should be business or financial industry related.
  • Basic knowledge of Bank operations, products and services; related state and federal laws and regulations, and other Bank operational policies and procedures.
  • Proficient in computer terminal and personal computer operation; software programs of diverse functionality used by the Bank, including but not limited to, desktop applications and administrative programs and resources (Microsoft Word, Excel, Power Point, Publisher, Adobe Acrobat and Outlook).
  • Ability to maintain strict confidentiality on a wide array of sensitive information.
  • Exceptional oral, written, and interpersonal communication skills with the ability to apply common sense to carry out instructions, interpret documents, understand procedures, write reports and correspondence, and speak clearly to customers and employees.
  • Effective organizational and time management skills.
  • Ability to work with minimal supervision while performing duties.
  • Available to work after hour events, which may include weekends and holidays.
