The Events Manager will be responsible for planning, coordinating, and executing a variety of events, including conferences, webinars, and trade shows. This role requires a creative, detail-oriented individual with excellent project management skills and the ability to thrive in a deadline-oriented environment. This position sits within the Communications and Marketing Department and report to the President.
Events Manager Responsibilities
- Hosting of our events (two currently, but could expand) to include coordination of event space, speaker outreach, attendee logistics, messaging, coordinating w / our design team and marketing, and obtaining sponsors for events
- Organizing the teams and presence BAO has at other conferences, whether we are attendees, speakers, and / or marketing (e.g., setup and staff booth or table at the event)
- Cross-functional collaboration with BAO teams to ensure all are aware of upcoming events deadlines for abstract submission, sign-up notices, etc.
- Tasking staff to assist running BAO events, curating details for non-BAO events, ensuring travel guidelines for event attendance are followed, and coordinating with the finance team for expense reimbursements.
- Managing budgets and coordinating with the President for annual conference details.
- Plan and execute a wide range of events, from initial concept through to completion, ensuring all aspects are delivered on time and within budget.
- Develop and manage event timelines, budgets, and logistics.
- Collaborate with internal teams, including marketing, sales, and technical staff, to align event objectives with company goals.
- Negotiate contracts and manage relationships with vendors, venues, and suppliers.
- Coordinate all event logistics, including registration, transportation, accommodations, catering, audiovisual requirements, and on-site management.
- Coordinate with the Communications Manager in the creation of event materials, such as invitations, programs, signage, and promotional items.
- Coordinate with Designer and Communications Manaqer to maintain two websites related to the BAO-hosted events, including updating event registration, prospectuses, etc.
- Analyze event performance and prepare post-event reports, providing insights and recommendations for future events.
- Maintain up-to-date knowledge of industry trends and best practices.
Requirements :
Bachelor’s degree in Event Management, Marketing, Communications, or a related field.3+ years of experience in event planning and project management, preferably in the technology or international development sector.Proven track record of successfully managing large-scale events.Strong organizational and project management skills with exceptional attention to detail.Excellent communication and interpersonal skills.Ability to multitask and prioritize in a deadline environment.Proficiency in gSuite and / or MS Officestrong technical skills, experience in Salesforce administrationCreative thinker with the ability to develop innovative event concepts.Ability to travel internationally as needed for event execution.Problem-solving ability.
