Administrative Support
- Welcome and assist all incoming visitors, providing name badges and safety equipment as needed
- Answer and direct all incoming phone calls professionally
- Receive, sort, and distribute incoming mail; prepare and process outgoing mail
- Support the Plant Manager and Operations Manager with daily administrative tasks and reporting
- Generate and maintain weekly / monthly reports, including Labor Cost per Lb. and temp labor summaries
- Process temporary labor timesheets and enter hours into EHS
- Track expenses and prepare weekly status reports
- Prepare, format, and distribute internal communications
- Coordinate hospitality for meetings and training sessions (e.g., meals, refreshments)
Employee & Facility Coordination
Issue building access cards for new hiresTrack employee uniforms and manage related inventoryInput monthly plant safety meeting minutes into EHSMail employee birthday cards and assist with employee recognition programsPublish Employee of the Month updates for internal communicationsMaintain bulletin boards and digital presentations with up-to-date announcements and newsOrder and manage office supplies; ensure cleanliness and organization of common areasAccounts Payable / Receivable (AP / AR)
Process incoming receivables and maintain logs and documentationManage Basware workflow for accounts payable; ensure timely vendor paymentsComplete month-end accruals and plant spending reportsInvestigate and resolve invoice discrepanciesSupport new vendor setup and records maintenanceOther Duties
Participate in special projects and tasks as assigned by managementQualifications
High School Diploma or equivalent required; college coursework or degree preferred3+ years of administrative support experience in a fast-paced environment; plant or manufacturing setting strongly preferredSAP and workflow management experience required; Basware experience highly desirableProficient in Microsoft Office, especially Excel (data entry, spreadsheets, calculations)Strong written and verbal communication skills with excellent interpersonal abilitiesDetail-oriented with strong problem-solving and organizational skillsAbility to work independently while effectively managing multiple prioritiesProfessional demeanor with a proactive, self-starter mindsetMust be able to sit for extended periods and perform computer-based tasks efficientlyEEO Statement
