We are looking for a Procurement Contracts Administrator to join our team on a long-term contract basis in Orlando, Florida. This position is integral in managing post-award procurement activities and ensuring compliance with contract requirements. The role involves overseeing contract documentation, tracking compliance measures, and supporting the Aviation Authority’s operational goals.
Responsibilities :
- Monitor contract expiration dates, insurance certificates, bonds, and other compliance documents across multiple systems, including Contract Management and e-Procurement platforms.
- Manage the lifecycle of procurement activities, ensuring proper documentation and compliance for planning, engineering, construction, and concession solicitations.
- Prepare detailed reports and statistical analyses, perform research, and develop tracking documents for contract management.
- Maintain and update contract and agreement requirements in various systems, establishing timelines for expiration and compliance tracking.
- Create contract headers in Oracle Financial System to monitor fund allocation and tracking.
- Ensure enforcement of contract terms and resolve disputes while maintaining accurate contract files.
- Collaborate with internal and external stakeholders to address procurement and contract-related inquiries.
- Utilize Excel and Smartsheet to create dynamic dashboards, pivot tables, and charts for data visualization and reporting.
- Analyze procurement and contract data to identify potential issues and provide actionable insights.
- Support decision-making processes by delivering clear and concise analyses to end users.
- Proven experience in administrative assistance and data entry within a procurement or contract management environment.
- Familiarity with contract management systems and e-Procurement platforms is highly desirable.
- Proficiency in Oracle Financial System and Microsoft Office programs, with advanced skills in Excel.
- Ability to create dynamic dashboards and automated tracking tools using Excel and Smartsheet.
- Strong knowledge of contract language, enforcement processes, and conflict resolution.
- Analytical skills to evaluate procurement data and support informed decisions.
- Skilled in organizing, prioritizing, and managing multiple projects effectively.
- Excellent interpersonal and communication skills for interacting with diverse stakeholders.
