POSITION SUMMARY :

We seek a highly organized and personable Client Intake Specialist to serve as the primary point of contact for prospective clients. This role is critical to creating a positive first impression while supporting the firm’s operational efficiency. In addition to managing the intake process, this position involves providing administrative support and handling fiscal responsibilities.

KEY RESPONSIBILITIES :

Billing Support :

• Assist legal team with time and expense entries and billing review.
• Develop and maintain billing systems and processes; prepare and distribute weekly reports [outgoing invoices, billable time, etc.].
• Review, revise, and distribute client invoices; track and secure client payments.
• Process and document [paper and electronic] payments, deposits, and receipts; follow up on outstanding bills, process late fees, manage collections, etc.
• Respond to client billing / invoice inquiries in a timely manner, reconcile account discrepancies, and resolve billing issues as needed.
