We are seeking a highly organized and detail-oriented Administrative Coordinator to provide essential support to our client.
This role involves coordinating professional development programs, managing vendor and contract processes, and handling a variety of administrative tasks—including scheduling meetings, maintaining communication with staff and external vendors, and ensuring accurate data entry across multiple platforms.
The ideal candidate will bring strong administrative skills, a proactive mindset, and the ability to effectively support the initiatives in a fast-paced environment.
This is an on-site position in Westbury, NY, with work hours from Monday to Friday, 8 :
- 30 AM – 4 : 30 PM. Benefits include : medical, dental, and vision insurance; 401(k) with company contribution; paid time off (PTO); and holidays.
Key Responsibilities :
Program Coordination Coordinate logistics for professional development.Manage workshop registration, attendance tracking, and follow-up communications.Serve as a liaison between internal staff and external stakeholders to ensure successful program delivery.Contract & Vendor Management Oversee the full lifecycle of vendor and consultant contracts, including planning, negotiation, drafting, routing for approval, and final execution.Track contract progress and maintain accurate records to ensure timely renewals and compliance.Administrative & Operational Support Provide comprehensive administrative support including document preparation, file management, and internal communications.Answer and route incoming calls, offering professional and courteous customer service.System & Data Management Utilize platforms such as Frontline Education, PeopleSoft, and QuickBase to manage program data, process purchase orders, and track invoices.Ensure accurate and timely data entry and reporting across systems.Qualifications :
