Job description

Position Objectives

The Admissions Representative is responsible for guiding prospective program participants through the admissions process, from initial inquiry to enrollment to placement into a job, military, and / or college. This role involves providing information about career training programs, admissions requirements, financial aid options, and career opportunities, while delivering exceptional customer service and support throughout a participant's involvement in WTA programming.

Position Responsibilities

  • Serve as the primary point of contact for prospective program participants via phone, email, and in-person meetings.
  • Provide detailed information about career training programs, admissions criteria, application procedures, and additional resources.
  • Assist prospective program participants in completing application forms, gathering necessary documents, and meeting deadlines.
  • Monitor and follow up with applicants to ensure timely submission of required materials and address any concerns or issues.
  • Organize and participate in admission-related events such as open houses, campus tours, and informational webinars.
  • Represent WTA at recruitment fairs, community events, and high school visits to attract prospective program participants.
  • Develop positive working relationships with referral agents (school counselors, military personnel, Office / Department of Vocational Rehabilitation, workforce systems case managers, representatives from community-based organizations, etc.).
  • Develop relationships with industry employers, military recruiters, and college admissions for referrals for WTA program completers.
  • Provide a regular schedule of workshops on resume writing and interviewing.
  • Maintain accurate records of interactions with prospective program participants and application statuses in the WTA CRM.
  • Follow program participant progress in WTA programming through communication with program instructors and review of LMS attendance and progress reports.
  • Follow up with participants post-program completion to assist with and / or confirm employment, with a focus on placement in jobs / apprenticeship, military, and / or college at quarters 2 and 4 after completion per WIOA outcomes.
  • Update and maintain LMS and CRM database of program participants' information, as required by WTA reporting procedures.
  • Examine the current admission process and recommend changes when necessary.
  • Provide exceptional customer service by addressing inquiries, resolving issues, and ensuring a positive experience for all prospective program participants.
  • Ensure adherence to institutional policies, accreditation requirements, and legal regulations related to admissions, enrollment, and job placement.
  • Communicate with employers and related SMEs for feedback and input to inform and improve existing WTA programs and new initiatives
  • Other duties as assigned.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and / or ability required. Minimum of three years' related experience. Reasonable accommodation may be made for individuals with disabilities to perform the essential functions. Proficiency with advanced Microsoft Office applications including Word, Power Point and Excel.

Experience

Minimum of 3 years of experience in admissions, sales, customer service, or a related field.

Proven track record in meeting or exceeding performance targets and working with diverse populations.

Education

High school diploma or equivalent required. Additional education or certifications in related fields (e.g., higher education, business, or communications) is a plus.

Valid State Driver's License.
