Position Overview : The Gift Processing and Database Coordinator ensures the accurate processing of donor transactions in the Raiser's Edge / NXT database system and for the creation of donor acknowledgments and receipts. Activities related to this position support fundraising goals and the philanthropic needs of the University. The position is responsible for CRM biographic data updates and entries, accuracy, and maintenance. Assists with research and transactional stewardship projects and provides high-level administrative, data, and project support to the Office of Philanthropy team. This role has an opportunity to shape programs and strategies to best engage the STU and donor communities.
Key Responsibilities include, but are not limited to :
- Gifts & Records Processing
- Process donor gifts and commitments
- Input all related data timely into the Raiser's Edge / NXT CRM database system
- Research and verify relevant data from gifts and pledges received for posting to the appropriate fund
- Generate and validate daily gift batches
- Work with campus constituents to include : Business Office, Finance and Fundraising teams to resolve any gift, data, or allocation questions.
- Enter pledges and pledge installments in the database and generate reminders for payments due, and regularly audit outstanding pledges.
- Generate and mail tax receipts within 48 business hours of the transaction being processed.
- Produce acknowledgment letters, coordinate Office of Philanthropy staff edits, and ensure that letters are mailed within a timely manner.
- Ensure constituent information updates from various sources are maintained accurately in all systems.
- Monitor activity on donor-established funds through annual fund tracking processes, responsible for regular communications with fund administrators; collaborate with other university personnel as directed and as necessary.
- Process and distribute gift backup communications and letters, including notification to campus partners regarding gifts received.
- Contacts donors when there are questions about their gift such as the name of the person being recognized, the purpose of the gift, and payment issues.
- Assists of Philanthropy team in validating new functions and upgrades with the Raiser's Edge / NXT CRM releases (3x a year).
- Document procedures and processes as it relates to gift and data entry in the database.
- Update and post documentation and resources in Office of Philanthropy shared drive.
- Support research operations by managing prospect alerting system, posting articles and research deliverables in the Raiser's Edge / NXT CRM.
- Perform administrative and project duties for the Philanthropy team.
- Contribute to team and organizational efforts by accomplishing related tasks and special projects as requested.

High school diploma or GED equivalentSome College Preferred, Minimum of two (2) to four (4) years of related business experiencePrior high-volume, data entry experience requiredDemonstrated proficiency with computer software such as the Microsoft Office Suite and databases such as Raiser's Edge / NXT or BlackbaudCreative Thinker and collaboratorStrategic MindsetPrior experience performing repetitive tasks such as data entry and systems coding with accuracyStrong preference for experience with gift entry in a higher education or non-profit environmentAbility to promote effective working relationships to accomplish objectives and build team supportGood customer service skills; listens and responds effectively to customer's needs to deliver quality serviceStrong communication skills both in writing and speaking effectivelyAbility to work independently with strong attention to detailAbility to interpret and translate procedures and guidelines to resolve problemsAbility to prioritize tasks and meet deadlines.Ability to work in and for cross functional teams.Understanding of and compliance with gift processing, tax receipting, and data entry best practices and procedures.
