Position overview
The Payroll Supervisor is responsible for the supervision and coordination of payroll and certified payroll processing to ensure weekly payroll and reporting are completed in a timely, accurate, and compliant manner.
Primary Responsibilities
Leadership
Be a leader in the development, maintenance, and implementation of payroll procedures, policies, and systems
- Liaise with managers to resolve discrepancies regarding overtime, shift differentials, or absences (paid / unpaid)
- Supervise and support a payroll staff of six employees
- Provide coaching, training, and development opportunities; address performance issues as appropriate
- Work with management to resolve escalated issues
- Analyze payroll processes and controls, identify efficiencies, drive change, and manage priorities
- Partner with IT to optimize system functionality and improve automation opportunities
Payroll
Ensure all payrolls run on schedule
Audit payroll reports to confirm accuracy before finalization; audit payroll register after processingCross-train as a backup to process weekly payroll and related itemsEnsure timely and accurate preparation, verification, and submission of certified payroll reports to government agencies using various platformsVerify hours, tax withholdings, deductions, bonuses, union fringes, shift differentials, and other incentivesAssist with monthly union reporting and auditsCollaborate with other departments to ensure accuracy and seamless data flowCompliance
Set up and administer the payroll system including new pay / benefit codes, taxability, and system mappingResearch and implement payroll-related legislation and compliance updatesEnsure compliance with federal, state, and local wage laws, including prevailing wage rates, union rules, and contract requirements (e.g., Davis-Bacon Act)Assist in managing and maintaining payroll guidelines by writing and updating proceduresCoordinate year-end payroll processesMaintain confidentiality of payroll operations and employee informationOther

Minimum of 5 years of supervisory experience in payroll and certified payrollPrevious payroll experience in a multi-state, multi-company high-volume environment (CA experience preferred)Experience managing and documenting payroll controls for complianceCollege degree in Business Management or related field preferredExperience with state and federal tax agencies to open / close / update accountsConstruction payroll and union fringe reporting experience preferredExperience with Paychex payroll softwareStrong Excel skills (VLOOKUP, Pivot Tables) and proficiency with Microsoft WordProfessional payroll certification (CPP or FPC) preferredWhy Join
