Description
Role Summary: The Administrative Assistant performs a range of administrative and clerical tasks to support the operations team.
Scope of the Position: This position is located at the Huntsville, AL corporate location and reports to the VP of Operations. This role serves as a key operational partner to Senior Operations Leadership, ensuring coordination, visibility, and follow-through across facilities, vendors, projects, and reporting.
Responsibilities: Responsibilities expected of this position include, but are not limited to, the following:
- Manage and prioritize complex calendars, meetings, and communications for Senior Operations Leaders.
- Own tracking and coordination of the Capital Expenditure (CapEx) and Construction-in-Progress (CIP) process, ensuring accuracy, documentation, and follow-through.
- Administer and maintain subcontractor and supplier agreements, including documentation and compliance tracking.
- Review and approve timecards for accuracy and completeness across assigned teams.
- Coordinate and process purchase orders to support operational needs across locations.
- Capture and document action items and decisions from operational leadership meetings and ensure appropriate follow-up.
- Oversee and manage the company uniform program across facilities.
- Coordinate travel logistics, lodging, and meals for operations leadership and special projects.
- Compile, analyze, and present data to support resolution of operational issues and leadership decision-making.
- Prepare and distribute reports on key operational performance metrics.
- Lead and support administrative and operational projects that improve efficiency and consistency across locations.
Position Qualifications:
- Advanced proficiency in Microsoft Office Suite, particularly Excel for tracking and reporting.
- Strong written and verbal communication skills with the ability to interact professionally with leaders, vendors, and staff at all levels.
- Demonstrated ability to work independently, prioritize competing demands, and exercise sound judgment.
- Highly detail-oriented with strong organizational and follow-through skills.
- Proven ability to manage multiple projects in a fast-paced, dynamic operational environment.
- Experience supporting operations, facilities, or multi-site leadership strongly preferred.
- Experience with vendor coordination, financial tracking, or project coordination preferred.
Education and Experience:
- High school degree or equivalent
- 1-year experience in office setting
Physical Requirements:
- Sit, stand, walk frequently.
- Adapt to various environments including production.
