Job description

Proposal Coordinator

The Proposal Coordinator plays a vital role in CSM Group's pursuit strategy by supporting the development of high-quality, client-focused proposals that showcase our capabilities and help secure new work. This position partners closely with the Proposal Manager, marketing team, business development, and project operations to ensure timely, accurate, and compelling proposal submissions that align with our brand and strategic objectives. Essential Duties & Responsibilities :

  • Proposal Development and Coordination

Coordinate the end-to-end proposal process for RFPs, RFQs, and other client solicitations, from kickoff through final delivery.

  • Support the Proposal Manager in managing timelines, deliverables, and stakeholder input to ensure submissions are accurate, complete, and on time.
  • Review solicitation documents to extract key requirements, deadlines, and submission criteria.
  • Assist in structuring, formatting, and assembling proposal materials to ensure they meet client expectations and CSM Group's quality standards.
  • Content Creation and Management
  • Draft and edit proposal content, including project narratives, resumes, cover letters, and company overviews.

  • Collaborate with subject matter experts to translate technical content into clear, client-focused language.
  • Maintain and update a library of proposal materials, including templates, project descriptions, team bios, and boilerplate content, for efficient reuse.
  • Branding and Quality Assurance
  • Ensure all proposals reflect CSM Groups brand voice, messaging, and visual identity.

  • Support layout, graphics, and presentation elements to enhance readability and impact.
  • Conduct quality checks for consistency, compliance, grammar, and accuracy.
  • Process Improvement and Support
  • Identify opportunities to improve workflows, tools, and templates that streamline the proposal process.

  • Contribute ideas for storytelling approaches and visual enhancements that differentiate CSM Group proposals.
  • Support additional marketing and business development initiatives as needed, including presentations, qualifications packages, and pursuit collateral.
  • Minimum Requirements :

  • Bachelor's degree in business, marketing, communications, English, or a related field preferred.
  • 1-3 years of experience in marketing, proposal development, or related professional services environment preferred.
  • Experience in the architecture, engineering, or construction (AEC) industry is a plus but not required.

    While performing this job, the employee may be regularly required to drive to and from the jobsites / assigned locations, sit, walk, stand, talk, hear, and smell. A major portion of the employees tasks require extensive walking around the jobsite, including active construction areas. The employee is required to traverse uneven terrain and work from ladders, scaffolds, and other structures, as well as work at variable heights. The employee is frequently required to use hands to handle tools, controls, and for fine motor coordination like computer work. The employee is occasionally required to reach with hands and arms. The employee is occasionally required to climb or balance, stoop, kneel, crouch, and / or crawl. The employee must also occasionally lift and / or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

    For Field positions, while performing this job, the employee must frequently inspect the project site and may be exposed to ongoing construction activities, vibrations, noise, and various outside weather conditions (in all seasons). Work environment involves moderate risks which may require safety precautions. The noise level in the work environment may range from quiet to loud. The proper use of Personnel Protective Equipment (including but not limited to safety boots, hardhat, and protective eyewear) is required on the jobsite.
