Prior office experience, preferably within the financial industry
Quick learner and adaptable in a fast-paced environment
Strong team player with a positive, enthusiastic attitude
Excellent communication, judgment, and problem-solving skills
Strong attention to detail and solid time management / organizational skills
Proficient in Microsoft Office Suite (especially Outlook )
Familiarity with Concur , Excel, and internet research tools is a plus
Must be able to support an in-person 1st round interview and phone-based 2nd round
Willingness to provide backup support to colleagues during vacations / sick days
Responsibilities :
Provide extensive phone coverage for Managing Directors, including message-taking, tracking executive availability, and handling urgent / confidential calls with discretion
Manage calendars, schedule meetings, and coordinate events / conference calls
Arrange complex travel itineraries and accommodations, process travel expenses
Navigate internal firm resources and liaise with various departments to fulfill requests and obtain services
Maintain a clean, organized, and fully functional work area
Set up and manage mailing groups as needed
Stay current on internal office procedures, technology, policy guidelines, and compliance requirements
