Job Summary

Develop and implement comprehensive accounting procedures for all federal, state, and private grants awarded to the College. Oversee all associated financial operations to ensure accurate and timely management of grant funds. Collaborate closely with the Office of Sponsored Programs to maintain precise documentation of grant expenditures and uphold institutional compliance with applicable budgetary regulations governing private, state, and federal funding sources.

Essential Duties

Maintains current knowledge of compliance requirements set forth by federal agencies, including the U.S. Department of Education, the National Science Foundation, and others. Regularly participates in professional development opportunities such as trainings and webinars to stay informed of regulatory updates and ensure continued adherence to applicable grant program guidelines.

Reviews awarded grants to gain a thorough understanding of each project's goals, objectives, and associated budgetary components. Secures relevant documentation, including contracts, notices of award, and award letters, and establishes grant budgets in accordance with established grants accounting standards and institutional policy.

Reconciles grant expenditures to ensure timely and appropriate use of funds in accordance with approved budgetary guidelines and regulatory requirements. Secures necessary documentation, including reporting instructions and forms, to facilitate accurate financial reporting for each grant funded project. Reviews and authorizes invoices and monthly expenditure reports related to federal, state, and private grants to maintain fiscal integrity and compliance.

Supports the development and delivery of orientation sessions for newly awarded grants, providing project directors with guidance on budget management practices and compliance with applicable regulatory requirements.

Collaborates with project directors and the Office of Sponsored Programs to identify and resolve budgetary challenges related to grant-funded initiatives. Serves as a liaison with federal and state agencies to address and clarify financial issues, ensuring compliance and continuity in grant administration.

Prepares and distributes periodic budget reports to project directors and the Office of Sponsored Programs, providing timely and accurate financial data to support informed decision-making and ensure fiscal accountability across grant-funded initiatives.

Provides oversight of accounting operations, budgetary compliance, and financial reporting for all grant-funded activities at the College. Monitors and evaluates adherence to fiscal requirements across grant portfolios, ensuring alignment with authoritative regulations, including the Office of Management and Budget (OMB) Uniform Grant Guidance. Establishes grant budgets in accordance with the terms outlined in award letters, agreements, and contracts to maintain regulatory compliance and financial integrity.

Collaborates with external auditors to support the annual Single Audit process, including the preparation of the Schedule of Expenditures of Federal Awards (SEFA) and the reconciliation of federal, state, and private grant revenues. Provides timely and accurate responses to grant-related accounting inquiries and documentation requests.

Advises, reviews, and approves expenditures, monitors compliance with grant agreements, and coordinates grants budgeting with Project Directors / budget managers and the Office of Sponsored Programs, both pre- and post-award.

Minimum Qualifications

Bachelor's degree in accounting.

Familiarity with grant-supported programs, including federal, state, and private funding.

Knowledge of project management process.

Familiarity with federal grant compliance guidelines.

Ability to work cooperatively with grant project directors.

Good interpersonal skills.

Ability to generate periodic budget reports for grant project directors, grant officers, and the Office of Sponsored Programs.

Ability to reconcile expenditures with grant guidelines.

3 years of related experience.
