Our firm seeks a highly organized and detail-oriented office manager / paralegal with strong accounting and QuickBooks experience to support our legal operations. In this dual-capacity role, you will manage day-to-day bookkeeping and financial tasks for the firm, while assisting attorneys with basic legal support.
Primary Responsibilities :
Accounting & Bookkeeping (60–70%) :
- Maintain accurate financial records using QuickBooks Online / Desktop.
- Perform bank and trust account reconciliations on a monthly basis.
- Manage accounts payable and receivable, ensuring timely payment and collection.
- Process client invoices, retainers, and trust fund transactions in compliance with legal ethics rules.
- Coordinate with external CPA or tax professional on financial documentation and reporting needs.
Paralegal & Administrative Support (30–40%) :
Draft basic legal documents such as engagement letters, subpoenas, and correspondence.Maintain organized case files and track important deadlines.Communicate with clients regarding billing questions, document collection, and administrative matters.Support attorneys in preparing for meetings, hearings, trials, or mediations.Qualifications :
Associate’s or Bachelor’s degreeMinimum 2 years of hands-on experience with QuickBooksFamiliarity with legal trust accounting and complianceWorking knowledge of legal procedures and documentation.Highly organized with strong analytical, communication, and time management skills.High ethical standards and discretion when handling confidential financial and legal information.
