Position Overview
We are seeking a motivated and detail-oriented Administrative Coordinator to support a range of operational and marketing functions. This role requires strong communication, time management, and organizational skills, along with the ability to work independently and build strong relationships with both in-office and remote colleagues.
The ideal candidate is someone who takes initiative, seeks out opportunities to contribute, and is highly effective in coordinating across distributed teams and operations. Our industry is specialized, and while prior experience is not required, success in this role depends on a genuine interest in learning. Key Responsibilities
Event & Travel Coordination
- Coordinate logistics for company events, meetings, and industry conventions
- Manage travel and accommodations for team members attending events nationwide
- Represent the company at trade shows, conventions, and industry events with professionalism including events across the U.S.
- Assist with setup, breakdown, and management of company booths and displays
Administrative & Operational Support
Manage calendars, schedule meetings, and coordinate executive itinerariesHandle phone calls, messages, and correspondence with professionalismPrepare documents, meeting minutes, and briefing materials for internal and external useTake clear, concise notes during meetings and prepare accurate summaries or minutes for distributionMaintain organized filing systems, manage mail / shipping logistics, and manage office supply inventoryPresentation & IT Support
Assist in the creation of clear, visually engaging presentations for internal and external audiencesProvide basic writing and formatting support to ensure professional, polished communication materialsUse standard software tools (e.g., Microsoft PowerPoint, Word, and Excel) to support document and presentation developmentApply a good eye for layout and design to enhance visual clarity and consistencyEnsure configuration control and organized file management across shared documents and presentationsOptional : Content, Research & Marketing Support

Assist in creating and refining content for digital platforms, printed materials, and event collateral, ensuring clarity, consistency, and alignment with brand standardsHelp draft and format marketing materials such as flyers, handouts, and internal communications using basic design toolsSupport the development of presentations and outreach materials by applying a strong eye for layout, visual clarity, and professional polishConduct background research to support marketing campaigns, business development efforts, etc.Collaborate with marketing and business development teams to support campaign coordination, including scheduling, content tracking, and follow-up communicationsRequirements & Qualifications
Legal authorization to work in the United StatesBachelors degree requiredPrevious experience in office administration, customer service, or a related fieldOptional : previous experience in marketing, communications, or a related fieldProficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook, Teams) and calendar management toolsWillingness to travel up to seven times per year for 4 - 7 days at a timeFlexibility to work outside regular business hours primarily during business travelWhat Sets You Apart
