Administrative Associate IV
Works under the supervision of the Chair for the Department of Psychology & Sociology and provides advanced administrative support work for the faculty and Chair in this department.
Functional Area 1 : Administrative Percent Effort : 30%
- Front-line point of contact for the Department of Psychology & Sociology
- Answer calls to the department
- Greet students and visitors
- Schedule meetings and maintain calendars for the Department Chair and shared conference room
- Submit work orders for maintenance
- Schedule rooms in Astra for special events and classes
- Assist the Graduate Coordinator in compiling and organizing documents such as application files, practicum logs, oral exam reports, etc.
- Other duties as assigned
Functional Area 2 : Operations Percent Effort : 40%
Prepare course schedules in Banner and process reports from ArgosConfirm faculty textbook adoptions and desk copy ordersReceive and review all faculty syllabi for submission to the Deans officeAssist in the preparation and processing of catalog and course description revisionsCreate Workday documents for the hiring of student workers, graders, graduate assistants, and adjunctsHire, train, evaluate, and supervise department student workersReceive transcripts and prepare documents for faculty credentialingAssist in scheduling of faculty search eventsArrange and / or assist departmental travel (faculty, student, incoming guests) using EmburseAssist faculty and Department Chair with organizing special events, to include purchasing, catering, campus announcements, invitations, and registrationCreate reports as needed from Interfolio for Chair and Deans officeMaintain communication with department facultyCoordinate with faculty Principal Investigators (PIs) in the timely initiation of processes that relate to the PI fulfilling the requirements of their awards and grantsFunctional Area 3 : Budget Percent Effort : 30%
Assist with department fiscal activities, such as purchasing, Pcard, and reconciling accounts using advanced spreadsheets and / or databases.Set up vendors for payment using Substitute W9, Quote for Services, and entering Purchase Orders in IslanderBuyOrder office suppliesKeep department chair informed and updated on account activity and balancesAssist in processing student awards and tracking account balancesAssist in updating the PIs, Grants Administrator, and Business Office to maintain effective communicationQualifications :
High School DiplomaFour (4) years administrative support experienceAdvanced skills in Microsoft Office SuiteExcellent written and verbal communication skillsPositive attitudeAbility to work independently and efficiently with minimal supervisionAbility to work in a fast-paced environmentExcellent attention to detailPreferred Qualifications :
Experience in Banner, Argos, Ad-Astra, IslanderBuy, Laserfiche, Emburse, and WorkdayTwo (2) years office management experienceAdvanced skills in AdobeUniversity experienceBachelors Degree in a related fieldSalary : $17.00 - $17.50 Hourly ($35,360 - $36,400 Annually Approximately)
