Senior Medical Education Specialist
The Department of Internal Medicine is the largest and most complex Department in the Morsani College of Medicine with over 26 Divisions, Programs and Centers / Institutes, total human resources in excess of 1,000, and an annual all-source budget in excess of $143,000,000. The Department's ongoing growth includes the restructure of Cardiovascular Sciences from a separate Department to a Division, support of the microbiome initiative, and the execution of clinical, research and education initiatives focused on COVID-19 and emerging infectious diseases.
The mission of the Department is to rank among the elite in the nation in the areas of education, research and patient care. The Department provides education and training for a diverse group of medical students, residents, fellows and health personnel from USF and throughout the world.
The Department's research activities are numerous and involve both basic and clinical research activities in all subspecialties of Internal Medicine. Our NIH funding is in excess of $120 million over the past 3 years. Patient care occurs in our affiliated hospitals (including Tampa General Hospital, H Lee Moffitt Cancer Center and Research Institute, James A Haley VA Hospital, Florida Hospital) as well as our state-of-the-art ambulatory health care centers. The Department also provides healthcare support and services via contractual arrangements with many diverse organizations. The US News & World Report recent rankings of our subspecialties include Nephrology at 18, and Gastroenterology at 24 and Primary Care at 67.

The Department of Internal Medicine is seeking a qualified, motivated individual to join our team as a Senior Medical Education Specialist. This position will help manage ACGME-accredited and non-standard fellowship training programs within the Morsani College of Medicine, Department of Internal Medicine, and will collaborate with the lead Fellowship Program Administrator and Program Directors to ensure compliance with accreditation standards, the Office of Graduate Medical Education and the University's policies.
This position reports to the Assistant Director of Fellowship Programs, who oversees all Fellowship Programs within the Department of Internal Medicine.
Responsibilities
New Innovations Management : Monitor duty hours monthly & send additional reminders as needed, update any violations with explanations; input fellow assignment schedules & leave monthly, oversee evaluation completion, send reminders, etc., monthly tracking of G&O / Curriculum acceptance, manage conferences and prepare materials (obtaining presentations and uploading) if applicable, manage semi-annual reviews (obtaining e-signatures, setting up meetings each 6-month period, etc.), manage fellow portfolio (updating certifications, scores, etc. as needed), upload incoming residents from ERAS system, and annual contract signing and completion of GME on-boarding checklists.
ACGME-Related Support : Maintain electronic records per ACGME and legal compliance standards, manage Rotation Verification Requests, enter all leave, clinics and conferences into New Innovations, obtain signatures on the verification form & submitting to GME, manage of Resident & Faculty Surveys (track completion rates and send emails from the system for access, obtain reports), assist with Program Letters of Agreement, assist New Innovations entries, and assist in Website Updates.
Other Educational Support : Create and obtain approval and prepare documents for expenses and reimbursements in relation to the educational program budget, complete GME's credentialing requests on graduates (obtaining signatures and returning to GME), perform recruitment logistics, attend interview days, manage Visiting Residents process, collect and document program's scholarly activities (QI, research, etc.) and assist with faculty development initiatives & projects.
Administrative Support : Prepare documentation and reports to facilitate Program Evaluation Committee & Clinical Competency Committee Meetings; collaborate on creation of program policies and keeping up to date with any revisions, assist in on boarding of fellows, order lab coats, and assist with conference logistics (i.e. sending invites as needed, requesting presentations from fellows & faculty, tracking attendance, ordering food as if applicable).
Performs other duties as required to optimize effectiveness of operations and support the overall mission.
Qualifications
MINIMUM :
This position requires a high school diploma or equivalent, with 4 years of administrative experience. At least one year of experience must involve administrative or program support duties in an academic department or college. Appropriate college coursework or vocational / technical training may substitute at an equivalent rate for the general experience. This educational substitution does not apply to required year of experience in an academic program.
PREFERRED :
Previous experience working in College of Medicine academia preferred. Previous experience as a Medical Education Coordinator with ACGME site review / working knowledge, ERAS interaction, NRMP rank list and Residency Management Systems experience is preferred.
SPECIAL SKILLS / TRAINING :
Ability to work as part of a team and to build collaborative relationships. Detail oriented and the ability to meet deadlines. Oral and written communication skills. Ability to multi-task and prioritize effectively. Knowledge and understanding of program accreditation requirements, policies, and procedures as applicable.
