We are looking for a highly organized and proactive Executive Assistant to provide comprehensive support to senior leadership. This is a long-term contract position based in Louisville, Kentucky, offering an excellent opportunity to work in a dynamic environment. The ideal candidate will excel at managing schedules, coordinating travel, and ensuring smooth execution of executive-level meetings.
Responsibilities :
- Manage and optimize executive calendars, ensuring all appointments, meetings, and events are accurately scheduled.
- Coordinate and book travel arrangements, including flights, accommodations, and ground transportation.
- Organize comprehensive travel itineraries to ensure seamless travel for executives.
- Prepare for executive meetings by collecting relevant materials, creating agendas, and ensuring all logistics are in place.
- Act as the primary point of contact for scheduling and travel-related inquiries.
- Assist in drafting correspondence, reports, and presentations as needed.
- Maintain confidentiality while handling sensitive information and documents.
- Ensure effective communication between executives and internal or external stakeholders.
- Resolve scheduling conflicts and adjust plans proactively to meet changing priorities.
- Monitor and track deadlines to ensure timely completion of tasks and projects.
- Proven experience as an Executive Assistant or in a similar role supporting senior leadership.
- Strong skills in calendar management, scheduling, and prioritization.
- Proficiency in coordinating complex travel arrangements and creating detailed itineraries.
- Excellent organizational abilities with attention to detail and accuracy.
- Effective communication skills, both written and verbal.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Proficiency in office software applications like Microsoft Office Suite.
- Demonstrated ability to adapt to changing priorities and work under pressure.
