Position Summary :

The Faculty Affairs Coordinator provides comprehensive executive, programmatic, and administrative support to the Office of Faculty Affairs and Learning Innovation (OFALI). This role serves as the executive assistant to the Senior Executive Dean, manages key faculty development initiatives, and oversees essential resources that support faculty onboarding, development, promotion, and success. The Coordinator ensures smooth operations across multiple programs, maintains a high level of professionalism and confidentiality, and acts as a central point of contact for faculty, staff, and external stakeholders.

Essential Functions :

  • Serve as executive assistant to the Senior Executive Dean of OFALI.
  • Manage the Dean’s calendar, ensuring priorities are aligned with strategic goals.
  • Prepare agendas, materials, and notes for SED-led meetings.
  • Coordinate communications and logistics with internal and external stakeholders.
  • Maintain confidentiality, discretion, and professionalism in all matters.
  • Coordinate logistics, communications, and documentation for OFALI-led programs in educator, leadership, research, professional, and personal development.
  • Provide administrative support for the Faculty Appointment and Promotions Committee.
  • Support faculty annual review and promotion processes.
  • Support faculty onboarding processes.
  • Oversee and maintain OFALI web pages and online resources, ensuring content is accurate, current, and accessible.
  • Update and manage resources such as the Faculty Handbook, Chair Resource Guide, policy pages, onboarding timeline, annual review and promotion resources, and the Online Collaboratory Project.
  • Reliable and timely, with the expectation of 40+ hours per week.
  • Other duties as assigned

Qualifications :

  • Bachelor’s degree; OR equivalent combination of education and experience may be considered.
  • Minimum of three (3) years of administrative, project management, or program coordination.
  • Knowledge, Skills, and Abilities :

    Individual must possess the knowledge and following skills and abilities or be able to perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities :

  • Well-developed organizational and time-management abilities with capacity to balance multiple priorities and deadlines.
  • Effective written and verbal communication skills, including preparing agendas, meeting materials, and correspondence.
  • Ability to complete work with accuracy and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with learning / program management systems preferred (CANVAS, Teams, Slack).
  • Ability to use discretion and maintain confidentiality with sensitive information.
  • Collaborative approach with the ability to build positive working relationships across diverse stakeholders.
  • Capacity to work independently, identify solutions, and contribute to process improvements.
